Job Description
Summary:
This position will provide administrative assistance in supporting departments across the Ohio Health system by utilizing standard work and critical thinking to proactively deploy designated resources to the greatest need. This position will manage information, material resources, human capital and facilitate the flow of information to and from care sites, Ohio Health associates and leaders throughout the Ohio Health system.
Responsibilities And Duties:
60%:
Manage team schedule (Ill calls, shift swaps and requests). Maintain/process time sheets, timecard & payroll corrections, payroll reports, time and attendance reports. Help leadership and staff ensure accuracy/compliance (pay premiums, TAP, FMLA, LOA etc.) with payroll, when applicable. Tasks that contribute to the department efficiencies (data collection, metric tracking, and reporting) and perform duties that support the team (communication, i.e. conference calls, emails, mobile phone and other).
20%:
Customer service/administrative duties as assigned by Leadership.
15%:
Oversees data collection and maintenance of the department information including, but not limited to: financial reports, quality reports, associate demographics, and education/competency compliance. (I.e. On call/ Call Stay/HA, Hospital Release, Hourly Report, Day-of staffing, and Dashboard of Supported Hours)
5%:
Order, track inventory/supplies, and expenses for department needs. Track and manage equipment (broken equipment) and work with vendor or appropriate department to facilitate maintenance. Maintain process to ensure department equipment is returned to area). Maintain department filling system. Trouble shoot PC's, monitors, printers, fax machines, etc. and make appropriate referrals to the IS Department. Reorders toner, paper and other limited use products, maintaining appropriate supplies and backup.

Minimum Qualifications:
Associate's Degree (Required), High School or GED (Required)
SPECIALIZED KNOWLEDGE
- Computer skills (Microsoft Office suite)
- Typing competencies (> 40 words per minute)
- Advanced word processing and spreadsheet experience
- Evidence of strong organizational/prioritization skills
- Time management
- Interpersonal skills
- Ability to utilize formal and informal communication methods
- Demonstrated customer service and telephone skills
- Pertaining to both internal and external customers
