Office Administrator/ Coordinator
At 3C Industries, protecting our people, projects, and client sites starts with strong access control. We’re looking for an organized, detail-oriented Access Control Assistant to support badge administration, access requests, compliance tracking, and recordkeeping across our projects and job sites.
In this role, you'll partner closely with the Access Control Coordinator and serve as a key point of contact for employees, subcontractors, clients, and project teams. From helping field personnel gain site access to ensuring documentation meets client requirements, you'll play an important part in keeping projects moving safely and efficiently.
Success in this position requires strong organization, attention to detail, proficiency with Microsoft Office 365 and Excel, and the ability to juggle multiple priorities in a fast-paced construction environment. Key Responsibilities- Support Badge Issuance and Access Management: Assist with processing, issuing, renewing, and deactivating employee, visitor, and subcontractor badges while ensuring requests are completed accurately and on time.
- Maintain Access Records and Systems: Keep access control databases, tracking logs, and personnel records up to date and organized.
- Track Compliance Documentation: Collect, review, and monitor required documents to ensure individuals meet site access requirements before badges are issued.
- Coordinate Access Requests: Work with employees, subcontractors, clients, and project teams to facilitate access requests and resolve routine issues.
- Provide Customer Support: Respond to access-related questions and provide timely, professional assistance to employees and external partners.
- Manage Administrative Workflows: Process a high volume of requests, emails, and documentation while maintaining accuracy and meeting deadlines.
- Maintain Reports and Spreadsheets: Utilize Microsoft Excel and Office 365 to track badge activity, compliance status, and access records.
- Troubleshoot Routine Access Issues: Investigate and resolve basic badge and credentialing issues, escalating more complex concerns when needed.
- Support Audits and Compliance Efforts: Ensure records and supporting documentation are organized and readily available for audits and reviews.
- Protect Confidential Information: Handle personnel, security, and project-related information with discretion and professionalism.
- Contribute to Process Improvements: Identify opportunities to improve efficiency, organization, and overall access control experience.
- High school diploma or equivalent required.
- 1+ years of experience in an administrative, customer service, coordination, onboarding, HR, compliance, or office support role.
- Strong attention to detail, organization, and recordkeeping skills.
- Proficiency with Microsoft Office 365, including Outlook, Excel, and Teams; experience using spreadsheets and tracking tools.
- Strong written and verbal communication skills with the ability to work effectively with employees, subcontractors, clients, and leadership.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
- Ability to handle confidential information with professionalism and discretion.
- Strong customer service, problem-solving, and learning agility.
- Experience with access control, credentialing, onboarding, compliance tracking, or workforce management is a plus.
- Familiarity with Fieldglass, Clearview, or similar workforce management systems is preferred.
- Experience supporting construction, industrial, manufacturing, or project-based environments is a plus.
