Compensation and Schedule

Salary: $27.73 per hour (exempt)

Schedule: Full-time, 8:00 AM - 5:00 PM, Mon-Fri (flexible start 7:00-9:00)

Role Overview

This position provides high‑level administrative support within the Ohio Department of Children and Youth’s Division of Regulatory Compliance. The work is fast‑paced, detail‑heavy, and requires strong judgment, professionalism, and comfort handling sensitive information.

Responsibilities
  • Support Leadership – manage the Deputy Director’s calendar, travel, confidential correspondence, and meeting logistics; serve as first point of contact for state and county officials, program administrators, and members of the public.
  • Handle Sensitive Inquiries – respond to questions about DCY programs, policies, and procedures, providing non‑legal interpretation or routing issues appropriately.
  • Coordinate Division Operations – track deadlines, monitor required staff trainings, maintain distribution lists, support printing and communication needs, ensure field staff receive timely information.
  • Prepare and Manage Documentation – draft reports, summarize data, prepare hiring packets, maintain confidential files, manage retention and disposal schedules.
  • Organize Meetings and Events – schedule Teams meetings and in‑person events, reserve rooms, prepare agendas, assemble materials, record minutes.
  • Perform Front‑Office Functions – greet visitors, screen calls, process mail, manage office supply inventory.
Day‑to‑Day Expectations

Typical days involve preparing reports, updating files, or coordinating meetings. Occasionally urgent requests arise from officials or last‑minute scheduling changes. Interacting with a wide range of stakeholders and serving as a key administrative anchor for the Division.

Qualifications
  • Minimum 30 months experience or training in secretarial/administrative professional field, or associate‑level coursework in secretarial science or business office applications plus 12 months experience.
  • Alternatively, 12 months experience as Administrative Professional 2 (Grade 16872). Equivalent training/experience acceptable.
  • Administrative Support/Services skill set.

Pay Progression

Step 1 $ 27.73/hour ($57,678). Subsequent steps increased at 6 months, 18 months, 30 months, 42 months.

  • Step 2 – $29.25/hr ($60,840)
  • Step 3 – $30.83/hr ($64,126)
  • Step 4 – $32.61/hr ($67,829)
  • Step 5 – $34.35/hr ($71,448)
Background Check

All selected candidates will undergo a criminal background check. Prior convictions are assessed individually; they do not automatically disqualify an applicant.

Travel and Transportation

Travel may be required as needed. Candidates must provide their own transportation or possess a valid driver’s license.
