Head Building Secretary

Time

Schedule:

12 months

Salary Range: $23.91 - $26.54 per hour

Reports to: Principal

Employment Status: Regular/Full-time

FLSA Status: Non-exempt

Probationary Period: 120 days

Description: Performs clerical and secretarial duties to support school administrative offices, coordinating activities that benefit students, instructional staff, support staff, parents, and the community.

Qualifications
  • High school diploma or general education degree (GED)
  • Three years of related experience
  • Alternative qualifications acceptable to Supervisor or Board of Education
Required Knowledge, Skills, and Abilities
  • Effective communication, both oral and written
  • Active listening, organizational, time‑management, and problem‑solving skills
  • Ability to work positively with others and generate correspondence independently
  • Computer proficiency and use of office software
  • Knowledge of modern office practices and equipment
  • Ability to prioritize and complete assignments within authority
  • Alternate qualifications acceptable to Supervisor or Board of Education
Essential Functions
  • Coordinate and implement security measures to ensure safety of students, staff, and community.
  • Research for principal or designee; compile data and edit communications/newsletters to parents, students, staff, and community; arrange for distribution.
  • Receive, screen, route, and reply to all mail, email, phone calls, and visitors.
  • Account for all monies collected through fundraising and maintain financial records and billings.
  • Assist with building the budget and record student attendance and reports.
  • Enroll, register, and withdraw students; prepare transcript requests.
  • Maintain relationships with PTO/PTA representatives and act as liaison.
  • Schedule appointments and maintain calendars for meetings, conferences, and building use.
  • Prepare and maintain reports, records, and files related to students, staff, and operations.
  • Administer first aid and assist with the school health clinic as needed.
  • Contact parents or emergency contacts when required.
  • Prepare statistical and routine reports, memoranda, bulletins.
  • Maintain requisitions, purchase orders, and coordinate maintenance of office equipment.
  • Collect staff leave forms, process time sheets, and assist with purchase orders.
  • Assist with EMIS data updates in student and learning management systems.
  • Maintain confidentiality of sensitive information.
  • Attend meetings and in‑services; promote customer service and public relations.
  • Other tasks as assigned by Principal or Superintendent.
  • Alternate essential functions acceptable to Supervisor or Board of Education.
Other Duties and Responsibilities
  • Respond to routine questions and requests appropriately.
  • Issue passes to students.
  • Assist with building AESOP needs.
  • Assist in preparation of academic progress reports.
  • Perform other duties assigned by Principal or Superintendent.

  • Copy machine, Fax machine
  • Calculator, Computer/printer, Telephone/cellular phone
  • Postage machine, Other office equipment as needed
Additional Working Conditions
  • Exposure to blood, bodily fluids, and tissue.
  • Exposure to loud noises.
  • Interactions with unruly children.
  • Repetitive hand motion such as typing.
  • Interruption of duties by students, visitors, staff, and/or telephoning.
  • Frequent movement to access equipment and travel throughout the building.
