We are seeking a passionate IDD Program Assistant to provide operational support for programs by carrying out routine administrative tasks, assisting with the implementation of inter-office communication, and offering administrative assistance to program directors and team members serving individuals with intellectual and/or developmental disabilities.
Client Benefits Management- Maintain social security benefits and Medicaid/Medicare benefits for clients, including processing information and reports at the time of admission and discharge.
- Coordinate with Program Managers to ensure timely communication regarding changes or updates to client benefits.
- Communicate with the agency business office and external entities involved with client benefits to address eligibility, updates, or questions.
- Provide front office and administrative staff with support, including answering and transferring phone calls, filing, emailing, and data entry.
- Greeting visitors upon arrival and providing them with necessary paperwork or assistance.
- Handle incoming communication regarding client intake, responding to inquiries and directing information as appropriate.
- Support administrative work, such as organizing and entering individual records into database systems.
- Assist Human Resources and the Training Department with scheduling and notifying staff about upcoming training.
- Perform other related duties as assigned to support program operations.
- Maintain and organize client files, both electronic and physical. This includes updating HPC documentation, medical card files, incident reports sent weekly, Cost to Live files, fire drill reports, consumer contacts, and any other relevant records as needed.
- Maintain inventory of office supplies, ensuring items are stocked and available for staff use.
- Manage scheduling and event calendars to coordinate meetings, appointments, and program activities.
- Answer phone system and make appointments or direct calls to the appropriate party.
- Process and maintain records for credit and gas card receipts, ensuring accuracy and timely submission.
- Education:
Associate's degree in administrative science, management, human services, or another related field (preferred). - Experience:
6 months to 1 year of related experience (required). - MUST HAVE A VALID DRIVER'S LICENSE.
- Computer
Skills:
2+ years proficiency in all Microsoft Office applications, skill in use of personal computer and related equipment and software.
