We are seeking a highly organized, proactive, and strategic Executive Assistant to serve as a trusted partner to the Chief Executive Officer (CEO). This role extends far beyond traditional administrative support, acting as a key operational partner who enables executive effectiveness through exceptional organization, sound judgment, and flawless execution.
The ideal candidate is an experienced executive support professional who thrives in a fast-paced environment, anticipates needs before they arise, manages competing priorities with ease, and exercises the highest level of discretion. This individual will play a critical role in maximizing the CEO's effectiveness by coordinating complex initiatives, managing executive operations, and ensuring seamless execution of both business and select personal priorities.
Key Responsibilities Executive Partnership & Strategic Support- Serve as a trusted advisor and strategic thought partner to the CEO.
- Anticipate challenges, identify opportunities, and proactively surface potential risks or conflicts affecting executive priorities.
- Assist in planning and coordinating executive strategy sessions, leadership meetings, and offsite events.
- Provide thoughtful input and recommendations to support executive decision-making.
- Develop and maintain systems to organize, prioritize, and track critical initiatives and executive priorities.
- Lead special projects from initiation through completion, coordinating efforts across multiple departments and stakeholders.
- Track action items from executive meetings, ensuring accountability and timely follow-up.
- Facilitate communication between the CEO and internal and external stakeholders to maintain alignment and momentum on key initiatives.
- Draft, edit, and distribute executive communications, presentations, and other materials as needed.
- Manage a dynamic and complex executive calendar, balancing competing priorities while optimizing the CEO's time.
- Serve as the primary gatekeeper for meeting requests and communications, exercising sound judgment in prioritization.
- Coordinate domestic and international travel, including comprehensive itineraries and logistics.
- Plan and facilitate executive leadership meetings, including agenda preparation, meeting materials, note-taking, and follow-up.
- Coordinate meetings, leadership events, company gatherings, and executive offsites.
- Monitor and manage communications across multiple platforms, ensuring timely responses and seamless follow-through.
- Handle highly confidential information with professionalism, discretion, and integrity.
- Anticipate executive needs and proactively resolve issues before they arise.
- Provide coordination and direction to internal and external partners to ensure successful execution of assigned initiatives.
Required:
- 5–7+ years of experience supporting senior executives, preferably a Chief Executive Officer or other C‑suite leader.
- Demonstrated success managing complex projects involving multiple stakeholders.
- Exceptional organizational, prioritization, and time management skills with outstanding attention to detail.
- Excellent written and verbal communication skills, including the ability to prepare executive-level correspondence and presentations.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong judgment and proven ability to handle highly confidential information with discretion.
- Self‑directed, resourceful, and proactive, with the ability to anticipate needs and solve problems independently.
- Ability to thrive in a fast-paced environment where priorities frequently shift.
- Strong interpersonal skills and a collaborative, service‑oriented mindset.
- Experience using project management platforms such as Asana, , Trello, or similar tools.
- Experience supporting executives within private equity, financial services, hospitality, professional services, or other high‑performance organizations.
- Previous experience in a high‑growth or rapidly evolving business environment.
- Bachelor's degree or equivalent professional experience preferred.
