Executive Administrative Assistant
Pay Rate: $19.29/hr (W2, paid weekly) Location of Assignment:
Hybrid at Columbus, OH (Tuesdays & Thursdays onsite)

As an Executive Administrative Assistant, you'll provide high-level administrative support to multiple leaders while handling confidential and complex responsibilities. This role requires exceptional organization, professionalism, and the ability to anticipate executive needs in a fast-paced corporate environment. You'll coordinate calendars, manage travel, prepare reports and presentations, monitor expenses, and help ensure the team operates efficiently.
Key Responsibilities- Manage complex calendars for multiple executives and teams, including scheduling meetings and prioritizing appointments.
- Coordinate domestic and business travel arrangements, making last-minute itinerary adjustments when necessary.
- Prepare reports, presentations, and other executive materials.
- Screen emails and communications, identify action items, and prioritize requests for executive review.
- Draft professional correspondence that reflects executive communication style.
- Track deadlines and proactively follow up on outstanding tasks and deliverables.
- Support office procedures and recommend process improvements to enhance team productivity.
- Process expense reports accurately and in a timely manner.
- Manage meeting budgets, review invoices, and assist with accounts payable activities.
- Stay informed on company procedures, HR policy updates, and organizational changes that impact the department.
- Assist with special projects and additional administrative responsibilities as assigned.
- May provide guidance and informal mentorship to other administrative assistants.
- Experience supporting executives or senior leadership in an administrative capacity.
- Strong calendar management and meeting coordination experience.
- Experience coordinating business travel and handling schedule changes.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills with the ability to draft executive-level correspondence.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Experience with expense reporting, invoice processing, or budget tracking is preferred.
- Ability to prioritize multiple competing deadlines with minimal supervision.
- Detail-oriented, proactive, and customer-service focused.
