Scope of PositionThis position serves as a critical administrative partner supporting the dual operations of the Analytics Center of Excellence (ACE) and the Quality and Operations departments. These areas play vital roles in driving data‑informed decisions, advancing organizational excellence, and improving clinical and operational outcomes across the health system. The Executive Assistant provides high‑level support to department leaders, ensuring seamless execution of day‑to‑day functions, coordination of meetings with diverse stakeholders, and oversight of confidential and sensitive communications.
PositionSummary
The Executive Assistant manages administrative responsibilities for two executive leaders and their leadership teams and serves as a trusted liaison with other internal and external partners. The role includes scheduling, communication coordination, documentation management, event planning, and handling sensitive matters with the utmost discretion.
Responsibilities- Schedule and coordinate meetings for executive leaders and their leadership teams.
- Manage and organize confidential and sensitive communications and documentation.
- Plan and support events, workshops, and internal initiatives.
- Serve as a liaison between the Analytics Center of Excellence, Quality & Operations offices, and key stakeholders, including hospital and university leadership, clinicians, faculty, staff, data scientists, and external partners.
- Maintain and update calendars, preparing agendas and minutes for meetings.
- Adhere to and represent the department in all communications and stakeholder interactions.
- Bachelor's degree or equivalent experience.
- Up to 2 years of relevant experience preferred.
- Knowledge of spreadsheets, Kronos, Workday, and PowerPoint desired.
- Ability to handle confidential information appropriately.
- Ability to work independently and in a team.
- Excellent verbal and written communication skills.
- Ability to work effectively with all levels of the organization.
- Experience with high‑level administrative support in an academic medical center environment preferred.
- Successful completion of a background check.
- Required pre‑employment physical and drug screen during the post‑offer process.
