Job SummaryThe Executive Coordinator is a highly confidential and strategic administrative leadership role supporting the Chief Information Officer, Chief of Staff, and People Experience team. This position manages all FCDC administrative services and is directly responsible for employee experience and administration strategy, including the creation and execution of engagement programs. Success requires flawless judgment, poise, and expertise in maximizing workforce productivity while serving as a reliable backup for HR duties and minimizing employment risk.
Employees new to FCDC or promoted into new positions must complete a 180-day probationary period, and all employees must adhere to current Employee Handbook policies.
Essential Duties and ResponsibilitiesTo perform this job successfully, candidates must be able to perform each essential duty and fulfill each responsibility satisfactorily. - Collaborate with cross-functional teams to design and implement initiatives that enhance employee experience. This may include organizing employee events, recognition programs, wellness initiatives, and other activities to foster a positive work environment.
- Maintain updated documents and processes for onboarding new hires, including updated job descriptions.
- Create ways to measure and assess engagement levels.
- Maintain thorough employee files, electronic and hard copies, and applicant tracking data.
- Assists and leads the new employee experience by handling the recruitment process, orientation, and intermittent check-ins to ensure needs are being met
- Collaborate with PEX and leadership to create and maintain a culture of inclusion and belonging.
- Actively encourage teamwork, open communication, and cooperative interaction by promoting a positive work environment that reflects FCDC’s vision and values.
- Handles all information in an unbiased and confidential manner.
- Serves as a confidential assistant to senior leadership; manages the CIO’s calendar and emails daily, schedules meetings and appointments, and screens phone calls from partnering agencies and other outside entities.
- Drafts executive-level correspondence, exhibiting the highest level of professionalism.
- Prepares and distributes governance boards meeting schedules, agendas, resolutions, and meeting minutes. Prepares for meeting room set-up of these meetings.
- Responsible for Data Board assets, including the iPads and accessories.
- Ensures that custodial and cleaning operations are performed adequately, and that the administrative area remains in a presentable state.
- Schedules the use of Data Center facilities, including conference and training room reservation and set-up.
- Manages Data Center photocopy and mail distribution services, including the publication of official notices and/or other publications.
- Performs other duties as assigned.
