Job Summary:

The Office Manager is responsible for supporting office operations while providing a high level of customer service and care to internal and external stakeholders. The Office Manager serves as the eyes and ears of the office, providing information, answering questions, and responding to requests in a professional and timely manner.

Essential Job Functions:

Office Management & Administrative Support:

  • Provide front-desk coverage by answering phone calls, responding to emails, greeting and providing information to visitors, employees, and other guests as they enter the office, and maintaining an organized and clean office environment.
  • Work with maintenance, cleaning staff, and outside vendors to ensure everything is in good working order, and ensuring minimal disruptions to staff.
  • Coordinate logistics for meetings at the corporate office, including scheduling and setting up conference rooms and arranging catering.
  • Act as main point of contact with building management, building security, and parking garage.
  • Distribute mail, sign for incoming packages, and manage outgoing shipments.
  • Order and maintain office supplies and appropriate inventories.
  • Manage kitchen and office stockrooms including company branded merchandise.
  • Manage insurance scans into Teams and work with insurance consultant on outstanding items or needs.
  • Work with IT department to check-in and out technology for conferences, ensuring items are returned in a timely manner and in working condition.
  • Work with events team to support shipping and receiving conference items for exhibit booths.
  • Support events team with pre-planning support including organizing, printing, packing, and sending applicable items. Support events team with day-of event support including attendee check-in, setup, and tear down.
  • Maintain appropriate stock levels for conference giveaway items, alerting Director when time for re-orders.
  • Assist with new employee onboarding, providing parking validation, office tour, and acting as a resource as employees get setup. Represent the company in a positive and professional manner.

Education/

Certifications:

High school diploma or equivalent

Work Experience:

  • Strong interpersonal skills
  • Excellent time-management skills and multitasking ability
  • Aptitude for learning new software and systems

Knowledge, Skills & Abilities:

Service & support oriented: Position interfaces with varying levels of internal and external stakeholders. Must be able to provide a high level of customer service to internal partners and external guests and be proactive in anticipating needs and where support can be provided.

Highly organized with a keen attention to detail: Position requires the ability to manage multiple projects, tasks, and priorities on an ongoing basis and a high attention to detail. To be successful, one must be highly organized and able to manage multiple priorities, be highly productive, understand the time sensitive nature of requests, and possess a strong work ethic. Maintaining high quality standards with work product is required, despite the fast-pace and high volume of work performed.

Ability to quickly learn and master new tasks or processes: Position requires one to quickly learn, retain, and master new tasks or processes; the ability to identify efficiencies and streamline processes is also highly desired.

Proficient in Microsoft 365 & Familiarity with Project Management Software: Qualified candidates will be proficient with Microsoft Teams, Word, Excel, PowerPoint, Outlook, One Drive, SharePoint. Ideal candidate will have experience working in a project management platform (Smartsheet, , Teamwork etc.)
