We are seeking a professional, friendly, and organized Receptionist to serve as the first point of contact for visitors, clients, and employees. This individual will play a key role in creating a welcoming office environment while providing administrative and front desk support. The ideal candidate has strong customer service skills, excellent communication abilities, and a willingness to work collaboratively as part of a team.

Key Responsibilities
  • Greet and assist visitors, guests, and clients in a friendly and courteous manner.
  • Validate guest parking as needed.
  • Accept and distribute deliveries and packages.
  • Maintain a clean, organized, and welcoming reception area.
  • Assist employees with general office needs and inquiries.
  • Serve as backup support for the Edwards Companies Receptionist.
Phone & Communication Support
  • Answer and direct incoming calls through the IBP phone system.
  • Take accurate messages and route inquiries to appropriate departments.
  • Maintain a professional and customer-focused approach in all communications.
Mail & Office operations
  • Sort and distribute incoming mail.
  • Process and prepare outgoing mail, including running postage.
  • Assist with stocking kitchen, breakroom, and office supplies as needed.
  • Keep the boardroom clean, organized, and fully stocked for meetings.
  • Assist with conference room scheduling and coordination.
Administrative Support
  • Maintain and update the Support Group Extension List.
  • Provide administrative assistance to the Front Office Supervisor and Office Administrator.
  • Support various office projects and duties as assigned.
Qualifications
  • High School Diploma or equivalent required.
  • Professional and friendly demeanor with a commitment to exceptional customer service.
  • Strong customer service and interpersonal skills.
  • Ability to work effectively both independently and as part of a team.
  • Proficiency with computers, office software, and multi-line phone systems.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Effective time management skills with the ability to prioritize multiple tasks.
