Executive Administrative Assistant
We are looking for an experienced Executive Administrative Assistant to provide high-level support to senior leadership and help keep priorities, communications, and governance activities running smoothly in Columbus, Ohio. This long-term contract position is ideal for someone who excels at managing complex calendars, coordinating board-related activities, and handling sensitive information with professionalism and discretion. The role will partner closely with executive leadership to streamline day-to-day operations, prepare key materials, and support important organizational initiatives.
Responsibilities:
- Manage a dynamic executive calendar by arranging meetings, resolving scheduling conflicts, and coordinating appointments with internal and external stakeholders.
- Organize meeting logistics from start to finish, including agenda preparation, distribution of materials, virtual meeting setup, and participant communication.
- Draft, format, and prepare correspondence, reports, presentations, and other documents needed to support executive priorities.
- Monitor deadlines, commitments, and follow-up items to help leadership stay informed and on schedule with critical actions.
- Coordinate travel plans, registrations, itineraries, and related arrangements as needed for executive leadership.
- Maintain secure and well-organized records, files, and confidential documents related to executive and board activities.
- Act as a key point of coordination between leadership and staff, board members, community partners, funders, and other external contacts.
- Provide administrative support for board and committee operations, including scheduling meetings, preparing materials, recording minutes, and tracking decisions and action items.
- Assist with board onboarding, retreats, trainings, and special projects while ensuring governance documents remain current and accessible.
- Contribute to internal meetings, planning sessions, and special assignments while supporting a collaborative, respectful, and accountable workplace culture.
