FLSA Status:Exempt
Hours:7:00 a.m. to 4:00 p.m. (One (1) Hour Lunch)
Job Location:3500 Alum Creek Drive, Columbus, OH 43207
- This position is primarily in person, with hybrid work capabilities.
Under direct supervision, the Contract Administrator will assist the project team with daily administrative duties. They provide contract, project-documentation, and administrative support to assigned areas. This person should consistently demonstrate Integrity, Gratitude, Excellence, and Leadership.
Responsibilities:- Uploads and maintains plans in Plan Grid and ensures current project documents are available to the appropriate teams
- Updates and maintains project information
- Processes customer contracts, including routing for review and signature, tracking status, maintaining records, and distributing executed documents
- Processes subcontracts and related documentation, including routing, tracking, filing, and communicating with internal teams and subcontractors as needed
- Maintains organized and accurate contract, subcontract, and project documentation in appropriate systems and files
- Updates and maintains labor and equipment rates
- Collects, organizes, and maintains project documents related to plan changes and communicates updates to appropriate project team members
- Provides Project Administrator coverage and support as needed, including change management, time and material invoicing, allowance tracking, Requests for Information (RFIs), submittals, purchase orders, pricing changes, and other project documentation
- Assists with collecting and routing material certifications, bills of lading, jobsite tickets, vendor and subcontractor documentation, and other project records as needed
- Assists with vendor and subcontractor invoice documentation, customer billing support, reports, and other project administration functions as assigned
- Performs general office and administrative duties, including managing correspondence, maintaining files and records, data entry, report preparation, meeting coordination, and departmental project support as needed
- Interacts professionally with customers, subcontractors, vendors, visitors, field staff, and internal customers
- Coordinates with project and field staff to ensure documentation follows established Company processes
- Knows and adheres to all Company policies and procedures
- Other duties as assigned

Qualifications:- Associate degree or higher in a relevant field of study, or at least two (2) years of experience in an administrative assistant or similar office support role required
- At least two (2) years of experience in contract administration, project administration, administrative support, or a similar office support role preferred
- Construction industry or project-based administrative experience preferred
- Must be able to successfully complete necessary background checks
- Must successfully pass a pre-employment drug screening (George J. Igel & Co., Inc. is a Substance Use Prevention and Recovery Drug-Free Workplace and tests for marijuana)
- Must maintain an MVR (Motor Vehicle Record) that meets Company eligibility requirements when driving is required for the position
- Proficient in Microsoft Office Suite and general office equipment
- Ability to learn and effectively use Company project management and document control systems, including Plan Grid
- Strong knowledge of grammar, spelling, and punctuation
- Skilled in handling and organizing multiple documents and files accurately
- Excellent oral and written communication skills, including public speaking
- Highly organized, detail-oriented, and able to work independently or in a team environment
- Strong ability to read, comprehend, and interpret written materials
- Able to stand and walk for extended periods of time
- Reliable transportation with the ability to travel daily to the primary workplace and occasionally to off-site locations, including job sites
