Inventory Operations Specialist

Overview

Luxe Brands is seeking an Inventory Operations Specialist to support the accuracy and efficiency of inventory operations across our retail and corporate environments. This role will be responsible for inventory tracking, reconciliation, reporting, and process improvements to ensure product availability and operational excellence. The ideal candidate is detail-oriented, proactive, and collaborative, with a strong ability to identify discrepancies, streamline inventory processes, and partner cross-functionally to support a high-performing retail operation.

Location and schedule:
Onsite Distribution Center in Worthington, OH, 8am-5pm, Monday-Friday.

• Create, manage, and maintain all purchase orders (POs) ensuring accuracy and completeness of POs, including pricing, quantities, terms, and delivery timelines.
• Serve as the primary point of contact for vendor communication, including order confirmations, changes, delays, and issue resolution.
• Review vendor payment requests for accuracy, matching against POs and receiving documentation.
• Manage and update vendor information as it relates to ordering processing timelines.
• Coordinate with the DC Operations Manager regarding order status, shipping dates, issues, and product availability.
• Manage store collateral inventory process, including sourcing.
• Follow all procedures to ensure maximum efficiency.
• Maintain accurate purchasing, invoice, and vendor documentation, including invoice reconciliation, billbacks, and credit memos in coordination with Accounting.
• High level of cross-departmental support and communication with sales, marketing, and accounting.
• Maintain accurate inventory records within inventory management system and ensure system count align with physical inventory.
• Own and manage the markdown process, including setup and execution of price changes across systems and stores.

• Associate’s degree in a related field or equivalent relevant work experience
• 2+ years of experience in order and inventory management
• 1+ years of Shopify experience
• 1+ years Vendor Management Experience
• 1+ years of experience in P/O’s and invoice reconciliation
• Strong Microsoft Excel skills
• Highly organized and process-oriented, with strong attention to detail
• Comfortable lifting 30 lbs+ (boxes, mannequins, racks, etc.)
• Must have reliable transportation and the ability to report to the office by scheduled shifts
• Successful completion of a background check and employment verification

• Prior experience in fashion, apparel, or other product-based fulfillment environments
• Proficient with Apple products
• Experience with Bridal Live/Endear
