International Trip Planning Coordinator Position Summary

We are seeking a detail‑oriented and adaptable International Trip Planning Coordinator to support international flight operations and travel logistics in a fast‑paced aviation environment. This role is responsible for coordinating customs clearances, international handling arrangements, and operational logistics to ensure smooth and compliant international travel activities.
The ideal candidate will possess strong communication skills, thrive in a dynamic environment, and be comfortable managing multiple priorities while supporting both internal teams and external stakeholders.
Key Responsibilities- Coordinate and maintain all international customs and travel clearance requirements for flight operations
- Establish, monitor, and update international handling and logistics arrangements for assigned trips
- Track daily international flight activity, departures, and estimated arrival times to ensure timely and accurate operational updates
- Communicate with customs agencies and other regulatory entities to facilitate efficient processing of international flights
- Document operational issues, deviations, and trip‑related updates to support accurate reporting and decision‑making
- Collaborate with internal teams, crew members, and external partners to ensure seamless trip coordination
- Maintain high levels of accuracy and attention to detail in all operational processes
- 0-2 years of experience in flight operations, travel coordination, logistics, or a related field preferred
- Experience with customs processes, CANPASS, or international travel requirements is a plus, but not required
- Strong communication and organizational skills
- Results‑oriented with the ability to manage multiple priorities effectively
- Ability to build and maintain positive working relationships with internal and external stakeholders
- Comfortable working in a fast‑changing, fast‑paced environment
- Ability to work a flexible schedule, including 1st, 2nd, and 3rd shifts as needed
- General knowledge of Microsoft Office and standard technology systems
- Strong attention to detail and problem‑solving skills
- Ability to remain calm under pressure and adapt quickly to operational changes
- Team‑oriented mindset with a proactive approach to communication and coordination
- Appreciation for working with diverse teams and clientele
