The Education Program Specialist 3 supports the administration, coordination, and evaluation of CTSI’s Investigator Career Development programs. Reporting to the Associate Director for Investigator Development, this role ensures timely communication, coordination, and monitoring of high-quality remote and in-person educational workshops, training opportunities, and career development initiatives for graduate students, residents, fellows, and junior faculty. The Education Program Specialist 3 works closely with CTSI leadership, faculty, staff, and trainees/scholars to manage day-to-day program operations and contribute to long-term program improvement.
Key Responsibilities Program Coordination & DeliveryCoordinate the scheduling and promotion of recurring educational series, workshops, and events, including:
- Monthly Seminar Series
- Mentoring workshops (3/year)
- Career Dinners (3/year)
- Thematic or topical workshops
- Grant-writing workshops
- Grant writing office hours to support grant development through one-on-one advising
- Other related meetings and events as required
Support new externship initiatives and career development opportunities. Develop and maintain training and program communication resources (e.g., video libraries, online modules).
Grant Administration & ComplianceAssist with administrative responsibilities for NIH and institutional training grants. Coordinate and monitor trainee/scholar appointment processes, OSU HR requirements, and NIH xTrain submissions. Ensure compliance with NIH and university reporting requirements.
Evaluation & ReportingMaintain surveys for relevance and conduct pre-and post-program assessments, mentoring surveys, and annual evaluations. Coordinate, collect, and monitor trainee/scholar progress updates through Individual Development Plans (IDPs), mentoring plans, and program milestones. Collect, analyze, and report data for internal stakeholders, NIH progress reports, and institutional updates. Use tools such as the Flight Tracker to monitor career trajectories and program outcomes. Establish and manage a database to track junior faculty outcomes (e.g., publications, presentations, patents, funding, novel treatments/therapeutics), benchmarking results against national data.
Help support and maintain project plans and Smartsheet to reflect accurate grant and project status.
Work closely with the Associate Director and CTSI evaluation team to assess and enhance program effectiveness. Contribute to program development by identifying opportunities for new initiatives and process improvements. Assist with promotional activities to raise awareness of CTSI education and training programs.
Minimim Requirements- Bachelor's degree or equivalent experience.
- An advanced degree in a relevant field is desirable.
- 4 years of relevant experience required.
- 4-8 years of relevant experience preferred.
