The Utility Coordinator plays a critical role in supporting the successful execution of development and construction projects by managing utility-related activities from project inception through construction completion. This position serves as the primary point of coordination for utility providers, municipalities, consultants, contractors, clients, and internal teams to ensure utility services are properly planned, established, transferred, disconnected, and documented throughout the project lifecycle.

The Utility Coordinator is responsible for overseeing utility due diligence, service applications, utility account management, utility relocations, service activations, and utility-related project documentation. This role works closely with Development, Design, Construction, Real Estate, and Accounting teams to proactively identify and resolve utility challenges while maintaining project schedules and minimizing delays.

The Utility Coordinator is accountable for managing utility processes in the most cost-effective and time-efficient manner while preserving the standards and relationships important to OLIO Development Group.

Principal Duties and Responsibilities
  • Serve as the primary liaison between OLIO Development Group and utility providers including electric, gas, water, sewer, and other utility agencies.
  • Coordinate utility due diligence activities during project feasibility and pre-development phases.
  • Research and document existing utility infrastructure and service availability for prospective development sites.
  • Manage utility applications, service requests, account setups, transfers, disconnects, temporary utilities, removals, and activations.
  • Track utility lead times and communicate impacts to development and construction schedules.
  • Coordinate utility relocations and infrastructure improvements required for development projects.
  • Work closely with Development Specialists, Project Managers, Design teams, contractors, landlords, and consultants to ensure utility requirements are incorporated into project planning.
  • Maintain utility tracking logs and provide regular project status updates to internal stakeholders.
  • Assist in obtaining utility-related approvals, permits, easements, and agreements as required.
  • Communicate requirements for utility inspections, service releases, meter installations, and final utility activations.
  • Ensure utility accounts are established, maintained, and closed in accordance with project requirements and company procedures.
  • Provide Accounting with utility fee information, deposits, invoices, and payment requirements.
  • Maintain organized utility records and project documentation within Procore and other company systems.
  • Identify potential utility conflicts and proactively develop solutions to minimize project delays.

1. Time Management: Exceptional organizational and project coordination skills. Ability to manage multiple utility processes across numerous active projects. Strong attention to deadlines, documentation, and follow-up requirements.

2. Problem Solving & Analytical: Ability to identify utility-related risks and develop practical solutions. Strong analytical and troubleshooting capabilities. Ability to interpret utility requirements, site plans, and utility service documentation.

3. Collaboration & Change: Ability to thrive in a fast-paced development environment. Strong relationship-building skills with both internal teams and external partners. Adaptable and proactive when responding to changing project conditions and schedules.

4. Communication: Strong written and verbal communication skills. Professional communication style with internal and external stakeholders and agencies. Professional and confident communicator capable of managing multiple parties and priorities.

  • Based out of the Columbus, OH office
  • Travel required:

    less than 25% as needed
  • Proficient in Microsoft Office and ability to learn on a variety of technology
  • Experience with project management software preferred (Procore preferred)
  • Strong attention to detail and documentation accuracy
  • Displays superior analytical, organizational, and communication skills
  • Professional demeanor and customer-service mindset
  • Able to prioritize duties and tasks with a sense of urgency
  • 3-5 years of experience in utility coordination, commercial development, construction administration, project coordination, civil engineering support, infrastructure management, or related fields
  • Familiarity with utility provider processes and commercial construction/development projects preferred.
