- Answer incoming calls and relay messages
- Respond to patient and staff inquiries
- Schedule clinical appointments, laboratory tests, consultations and examinations
- Communicate with referring physician offices
- Respond to faxes and distribute incoming mail to physicians
- Provide general administrative support and patient reception
- Coordinate medical records and clinical and administrative documents
- Communicate necessary information and preparation instructions to patients
- Coordinate with departments to ensure physician coverage for specialty procedures
- Maintain the physician’s calendar and arrange meetings
- Schedule physician-authorized tests and obtain insurance pre-certifications
- Facilitate preparation of patient paperwork on behalf of the physician
- Build and maintain patient charts, records and confidential medical files
- Pull and prepare patient charts for clinical appointments
- Monitor and order office supplies
- Perform other related duties and assigned special projects
- Travel to other clinical facilities when required to accommodate staffing levels
- High School diploma; two or more years of experience in a health care environment; or equivalent combination of education and experience
- Knowledge of ICD-9/ICD-10 and CPT coding
- Knowledge of medical terminology
- Customer/patient service experience
- Organizational and problem solving skills
- Ability to manage multiple priorities
- Ability to convey information both in writing and verbally
- High level of interpersonal skills to handle sensitive and confidential situations
- Demonstrated poise, tact and diplomacy
- Knowledge of MS Word, Excel, Access, PowerPoint, word processing, spreadsheets, database and presentation software
- Continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
- Travel may be required to accommodate staffing levels at other clinical facilities
Demonstrates expertise in patient scheduling, medical record management, and effective communication within a healthcare environment. Proficient in ICD-9/ICD-10 and CPT coding, with strong organizational skills to manage multiple priorities and maintain confidentiality.
