Take full operational ownership of a growing U.S. rental portfolio and become the person who keeps every property leased, maintained, and running smoothly. Our client owns and operates a growing portfolio of single-family and small multifamily rental properties across Dallas-Fort Worth. The business acquires properties, renovates them, and stabilizes them through long-term, mid-term, and short-term tenants.
This is a true Property Manager role—not an assistant-to-a-property-manager position. You will be the operational owner of the rental portfolio, serving as the main point of contact for tenants and vendors while ensuring properties remain filled, maintained, and properly documented. You’ll handle sensitive information and be trusted with significant responsibility from day one.
Key Responsibilities Property Management - 80%- Communicate with tenants by text and email regarding inquiries, maintenance issues, lease questions, renewals, and rent follow-ups.
- Run the leasing pipeline end to end:
- Respond to prospects within 24 hours.
- Pre-qualify applicants.
- Schedule viewings.
- Prepare and send leases.
- Coordinate move-ins and move-outs.
- Manage vendors by collecting competitive quotes on significant repairs, negotiating pricing, scheduling work, and confirming completion.
- Triage maintenance issues, assess urgency, dispatch the appropriate vendor, and keep tenants updated through resolution.
- Manage listings and availability calendars on Airbnb, Furnished Finder, and Zillow.
- Handle recurring property operations, including utilities, lawn care, cleaning turnovers, and lockbox codes.
- Keep the task management system (Click Up) current every day and send a short end-of-day recap.
- Own and maintain all SOPs:
- Create SOPs when a process does not have one.
- Maintain 100% ownership of the latest and correct version of every SOP.
- Manage the owner's calendar, meeting scheduling, and travel bookings.
- Coordinate personal errands, including orders, returns, appointments, and service calls.
- Place phone calls on the owner's behalf, including account inquiries with banks and credit card companies.
- Handle sensitive information with strict confidentiality under an NDA.
- Provide light phone coverage on some weekends for occasional Airbnb or mid-term guest check-ins/check-outs or vendor visits.
- Keep your phone available and respond if something comes up; computer-based work is not required.
- Most weekends will require no action, and this availability is included in the monthly rate.
- 2+ years of residential property management experience directly managing properties yourself—not working as an assistant to a property manager.
- Hands-on experience obtaining multiple vendor quotes and negotiating repair pricing.
- Experience with short-term, mid-term, or long-term rentals; exposure to more than one rental type is a plus.
- Fluency with property management or operations software such as App Folio, Buildium, Innago, Breezeway, or similar, with the ability to quickly learn the company's systems, including Click Up, Quo, Innago, and Google Workspace.
- English speaking and writing at a 9/10 level, as you will represent the company directly with tenants, guests, and vendors.
- Extremely high attention to detail, with no clerical mistakes or spelling/grammar errors in internal or external communications.
- Independent, proactive, and decisive, with the ability to solve problems within approved budgets without waiting to be told what to do.
- Reliable computer, stable internet, and a backup connectivity plan.
- Camera-on availability for scheduled video meetings, including a daily team huddle.
- Spanish fluency.
- Experience managing more than one rental type: short-term, mid-term, and/or long-term.
- Remote renovation management experience, including remotely managing contractors to ensure renovation projects are completed correctly and on time.
This is an opportunity to take true ownership of a U.S. residential rental portfolio rather than simply supporting another property manager. You’ll have direct responsibility for tenants, vendors, leasing, maintenance, operations, and SOPs while working remotely with a lean, fast-moving team.
