Dispatch Assistant

Location: On-site - Commack, NY

Pay Rate: $20-$24 per hour (based on experience)

Schedule: Full-time; typically 7:00 a.m. to 4:00 p.m. Must be flexible to work one or two Saturdays (half day) per month and occasional earlier start times (as early as 5:00 a.m.)

Position Summary

We are seeking a highly reliable, detail-oriented Dispatch Assistant to support daily dispatch operations and keep the wheels turning-literally. This role requires punctuality, strong organizational skills, excellent customer service, and the ability to stay calm and focused in a fast-paced environment. If you're dependable, sharp, and don't need reminders to check your email, you'll do well here.

Key Responsibilities
  • Register and enter jobs into the dispatch system accurately and in a timely manner
  • Perform accurate data entry and updates in the inventory management system (Windfall)
  • Work closely with drivers and helpers to support daily dispatch operations
  • Communicate professionally with customers by phone and email to provide updates, answer questions, and resolve issues
  • Track, log, and assist with parking tickets, including coordination for payment and recordkeeping
  • Assist with record storage and document organization
  • Enter and maintain accurate payroll data in the payroll system
  • Monitor and respond promptly to emails in Outlook – attention to detail here is critical
  • Use Excel for tracking, reporting, and data entry

    Learn and efficiently use dispatch and internal software systems
  • Support the dispatch team with administrative and operational tasks as needed
Required

Skills & Qualifications
  • Punctuality and reliability are non-negotiable
  • Strong attention to detail and follow-through
  • Excellent customer service and communication skills
  • Comfortable working with Excel and Outlook
  • Willingness and ability to learn new software quickly, including inventory systems
  • Ability to multitask and stay organized in a fast-moving environment
  • Must be able to work some Saturdays and early morning shifts (5:00 a.m. start on certain days)
Preferred Qualifications
  • Prior experience in dispatch, logistics, transportation, or operations support
  • Experience with job entry, inventory management systems (Windfall preferred), scheduling systems, or payroll input
  • Background in time-sensitive, customer-facing roles

Salary: $20 - $24 per hour
