Position DescriptionThe position provides support to the Director of Programs and Subcontract Administration and handles a range of administrative and compliance tasks. The ideal candidate is a proactive problem solver who can manage evolving departmental needs.
Duties and Responsibilities- Provide confidential administrative support to program staff
- Follow up with appropriate departments, under direction, to ensure compliance with agreements and respond to requests from subcontractors
- Prepare contract documents under attorney supervision using personal computer
- Compile, review, and organize reports, invoices, contracts, and other information for internal and external audits and meetings
- Assist in drafting and initial review of contracts under guidance
- Maintain files, correspondence, databases, records, certificates, and other documents
- Schedule, coordinate, and facilitate meetings and conferences, arrange travel, lodging, facilities, and reimbursements as needed
- Help liaise with outside partners and agencies to resolve day‑to‑day issues
- May lead, guide, and train staff or interns performing related work
- Pursue professional growth through seminars, workshops, and affiliations
- Maintain tracking system and calendar for project progress
- Perform miscellaneous job‑related duties as assigned
- Provide administrative assistance to the Director and related supervisors
- Bachelor’s degree in a field that includes logical reasoning, efficiency development, management, marketing research, or statistics
- Two years of experience in a high‑paced environment
- Ability to grasp and interpret legal documents
- Systematic knowledge of databases and tracking systems
- Superb organizational skills and attention to detail
- Ability to work under pressure and meet deadlines
- Ability to work independently and as part of a team
- Strong written and verbal communication skills
- Proficient in Microsoft Office, One Drive, and scheduling software
- Ability to develop and maintain record‑keeping systems and procedures
- Knowledge of planning and scheduling techniques
- Strong interpersonal skills for working effectively with diverse constituencies
- Database and records management skills
- Skill in organizing resources and establishing priorities
- Highly organized and detail‑oriented, able to manage deadlines and multiple tasks efficiently
- Project management experience is a plus
- Extremely organized, able to work under pressure and within tight deadlines, and manage multiple projects at various stages
- Highly self‑motivated, creative, takes initiative, learns quickly, flexible, works well with interdisciplinary teams
- Demonstrated teamwork with colleagues from diverse backgrounds, both in person and remotely
- Ability to establish and maintain effective relationships throughout the organization
- Proactive in assigned responsibilities, completing tasks and using technology to maximize efficiency

- Willingness to use personal vehicle for travel between sites

Job Title:
Program Assistant, Programs and Subcontract Administration (PSA)
Salary: $28.00 per hour
