Student Success Coordinator

Under general supervision of the Dean and in conjunction with the Instructional Specialist, plans, organizes, coordinates, supervises and oversees the day‑to‑day activities and operations of the division including the Student Success Center (SSC), as assigned; performs a variety of responsible administrative support and technical duties in support of an assigned program area or skills center, performs a variety of data collection, data entry, record‑keeping, report preparation, and program support activities;

and performs related work as required.

Supervision Received And Exercised

Receives administrative direction from the assigned dean and works with the Instructional Specialist and division chair to meet the needs of the division and SSC. Exercises general and direct supervision over assigned staff.

Class Characteristics

This classification oversees, supervises and integrates the day‑to‑day activities and operations of the SSC and division, to meet department goals and objectives. Responsibilities include being the liaison between students, instructors, and the program administrators, ensuring the information about courses and programs is communicated, and responding to or communicating student concerns and questions to the appropriate party. It is distinguished from other College support classifications in that incumbent provides complex office administrative services for a division and supervision of classified employees.

Day‑to‑day activities require the use of initiative and judgment, particularly when dealing with a variety of College students and staff and representatives of the public.

Essential Functions
  • Plan, organize, supervise and evaluate the work of assigned staff; participate in performance evaluations and take disciplinary action, up to and including termination, to address performance deficiencies, subject to management concurrence, in accordance with the District's human resources policies and procedures and labor contract provisions.
  • Contribute to developing and monitoring of the annual budget for the department.
  • Prepare estimated cost of payroll, as well as the actual payroll based on hours worked, work with the Payroll Department to determine pay discrepancies.
  • Provide day‑to‑day leadership and work with staff to ensure a high performance, customer‑service‑oriented work environment which supports achieving departmental and District objectives and service expectations.
  • Plan, organize, coordinate, supervise and oversee the day‑to‑day activities and operations of the SSC, oversee operations of one or more instructional areas, including setting up and maintaining equipment in assigned area; open or close the Center as assigned.
  • Prepare forms and maintain information and records related to the Center's instructors.
  • Support schedule production, e.g., coordinate room assignments, communicate status with faculty and maintain faculty availability status.
  • Coordinate, proof and audit the division schedule of classes, schedule change forms, faculty assignment sheets, teaching units.
  • Proof and monitor faculty contracts for accuracy.
  • Establish the division deadline calendar for curriculum proposals based on Instruction Office deadline calendar.
  • Maintain division records and curriculum files.
  • Participate in developing, implementing and evaluating work programs, plans, program reviews, SLOs, processes, systems and procedures to achieve department goals.
  • Track and prepare reports on student usage of SSC, prepare reports of student progress and student and department needs.
  • Participate in planning, development, coordination, integration, implementation and evaluation of academic support services programs and activities within assigned areas of responsibility to meet department goals and objectives; provide innovative, achievable recommendations to dean and others.
  • Act as lead to all tutors and student workers in the absence of the Instructional Specialist. Develop correspondence and informational materials for and about the Student Success Center. Gather and update information for the college website for the division and SSC.
