We are seeking a detail‑oriented and organized Transport Coordinator to oversee the end‑to‑end transportation and delivery process for our operations. The ideal candidate will ensure timely and accurate order shipments, coordinate with production, sales, carriers, and third‑party partners, and maintain compliance with internal and external requirements.
Key Responsibilities Order Management- Review purchase orders sent by Order Entry and adjust ship dates as needed for outside storage releases and production schedules.
- For Sobeys West (Fresh/Frozen), upload packing slips via the C3 portal.
- Ensure updates occur after all shipments are invoiced to reflect accurate final delivery quantities.
- Monitor production notices for missing or short product due to raw material, spice, or other production issues.
- Check available inventory and communicate details to the sales team for allocation.
- Adjust deliveries to fill orders fully or coordinate backorders with buyers when necessary.
- Prepare invoices for clients such as White Veal, TMF, and Pillers.
- Gather actual quantities supplied by the Distribution Centre and attach proof of delivery (PODs), verifying any comments/notes (shortages, overages, returned/accepted items).
- Notify third‑party partners when necessary.
- Check product availability early in the week to prepare shipments.
- Coordinate with production for scheduled items or communicate with sales for allocation decisions.
- Flag inventory with short shelf life to sales for approval.
- Generate Final Purchase Orders (FPO) and assign them to transportation with designated pick‑up dates.
- Update orders with final ship and delivery dates to support shippers and ensure FIFO (First‑In‑First‑Out) order picking.
- Book purchase orders within the designated timeframe; if outside the due date or no available window, coordinate with the buyer to update due dates and avoid fill‑rate charges.
- Assist carriers in notifying warehouses and buyers of delays.
- Reschedule appointments when needed and confirm sufficient shelf life with buyers.
- Ensure third‑party partners are informed of delays or rescheduling.
- Track carrier‑related compliance issues and forward charges to Accounts Receivable for memo processing.
- Proven experience in transportation coordination, logistics, or supply chain operations.
- Strong organizational and time‑management skills with attention to detail.
- Excellent communication skills for coordinating with production, sales, carriers, and third‑party partners.
- Proficient in inventory management and shipping systems (e.g., C3 portal).
- Ability to handle multiple tasks and prioritize under tight deadlines.
- Flexibility to work weekends if required (e.g., Saturday updates for Sobeys shipments).
- Knowledge of compliance procedures and reporting for transportation delays or carrier faults.
- Other duties as assigned.

Pay$50,000.00–$57,000.00 per year
