Position: Executive Administrator (Head of School Office)

Executive Administrator (Head of School Office)

Position: Executive Administrator (Head of School Office)
Location: Stow, Massachusetts, Masters Academy International Start Date: February 2026

Masters Academy International (MAI) is New England’s only school that intentionally integrates elite athletics with rigorous academics toprepare students for excellence in college, career, and life. At MAI, webelieve that operational excellence is inseparable from student success.

Systems, communication, and relationships matter deeply, and when done well, they create the conditions for students and educators to thrive.

In a fast-moving school environment, the Head of School and leadership team must remain focused on strategic priorities, the student experience, and community outcomes. That focus is only possible when the operational engine behind leadership is steady, responsive, and expertly managed.

About the Role

We are seeking a highly organized, proactive Executive Administrator to support the Head of School and leadership team. The ideal candidate brings a strong sense of integrity, discretion, and reliability, and excels at managing complex workflows, calendars, and communications. You will serve as a welcoming first point of contact for our community, build strong relationships across the school, and create systems that improve efficiency and clarity.

If you thrive in fast-paced environments, enjoy solving logistical challenges, and take pride in delivering exceptional service, this role is for you.

What You Will Do

In this role, you will ensure the smooth and efficient operation of the Head of School office and broader administrative functions by managing daily workflows, calendars, meetings, and communications with exceptional organization and attention to detail. You will proactively prioritize tasks, create and refine systems to improve efficiency, and support leadership in staying focused on core priorities through effective execution and follow-through.

You will also serve as a welcoming front-facing presence for the school community, handling calls, emails, and visitors with professionalism and warmth while maintaining strong relationships across the school. Additionally, you will support project management, continuous improvement initiatives, and the planning and execution of community events, and—when applicable—provide support for global mobility and onboarding for international colleagues.

Who You Are

We are seeking a highly organized, dependable, and proactive professional with a strong standard of integrity and discretion. The ideal candidate is calm under pressure, able to manage multiple priorities without losing attention to detail, and can work independently with excellent judgment about what requires escalation versus what can be handled autonomously. You build trust quickly and maintain strong relationships across the school community, and you communicate warmly and clearly in both verbal and written interactions.

You are comfortable using technology and office systems—especially spreadsheets, word-processing tools, calendar management, and database systems—and you take pride in anticipating needs, creating structure, and building systems that help others succeed. You enjoy solving logistical challenges, improving processes, and bringing order and clarity to complex environments, and you understand the importance of serving as a professional, front-facing ambassador for the school.
