We are conducting a confidential search for a Travel Operations Manager to oversee all travel planning and logistics for a private principal and household. This position carries full responsibility for managing a highly dynamic mix of professional and personal travel. It is best suited for someone who operates with foresight, discretion, and a strong sense of ownership.
- Assume full ownership of all business and personal travel planning for a private principal, serving as the single point of accountability from initial concept through return
- Build and manage a forward-looking travel roadmap (up to 10 months in advance), integrating known commitments, anticipated travel patterns, and shifting priorities
- Continuously recalibrate plans as schedules evolve, ensuring seamless alignment across professional and personal obligations
- Translate inputs from executive and personal support staff into detailed, executable itineraries
- Oversee all logistics including commercial and private aviation, accommodations, ground transportation, visas, passports, and special requirements
- Manage complex domestic and international, multi-stop itineraries, navigating last-minute adjustments with minimal disruption
- Prepare comprehensive travel briefs outlining confirmations, key contacts, preferences, loyalty details, and contingency planning
- Monitor active travel in real time, proactively troubleshooting to deliver a smooth, high-touch experience
- Partner closely with an external travel provider while maintaining oversight, quality control, and final responsibility
- Ensure vendors and service partners consistently meet high standards of discretion and service
- Integrate lifestyle considerations — including routines, wellness preferences, and blended business/personal needs — into cohesive travel plans
- Design and refine systems to centralize itineraries, documentation, approvals, and historical travel records
- Maintain organized tracking of travel documents, memberships, loyalty programs, and individual preferences
- Communicate clearly with the broader support team to ensure alignment without duplication of effort
- Provide occasional on-site support by traveling with the principal to oversee key transitions and in-destination logistics
- Strong personal accountability and comfort owning outcomes independently
- Exceptional organizational skills combined with strategic foresight
- Demonstrated experience managing complex, high-touch travel for private clients or senior leaders
- Ability to plan well in advance while remaining calm and effective in real time
- High standards of service and meticulous attention to detail
- Composure under pressure with agility in handling last-minute changes
- Absolute discretion and professionalism in managing sensitive information
- Collaborative communication style across internal teams and external partners
- Flexibility beyond standard business hours when travel schedules require it
- Comfort with occasional travel as part of the role
- Familiarity with private aviation logistics
