The Payroll Accountant owns the accounting side of payroll, processing multi-state, multi-entity payroll accurately and on time while ensuring all payroll, benefit, and tax activity is correctly recorded, accrued, and reconciled in the general ledger. This role bridges payroll operations and accounting, performing account analysis, reconciliations, and month-end close support to ensure the integrity of payroll-related financial data.
Key Responsibilities- Prepare and process multi-state, multi-entity payroll on a bi-weekly basis, including deductions, garnishments, HSA/FSA, 401(k), and tax with holdings
- Prepare and post payroll-related journal entries and month-end accruals, including wages, PTO, bonus, employer taxes, and benefit liabilities
- Reconcile payroll, benefit, and tax liability general ledger accounts each period and clear reconciling items on a timely basis
- Perform account analysis on payroll-related balance sheet and expense accounts; investigate and document variances
- Reconcile benefit with holdings (medical, dental, vision, HSA/FSA, 401(k)) to carrier and vendor invoices and resolve discrepancies
- Reconcile federal, state, and local payroll tax accounts and review quarterly and year-end tax filings (e.g., Forms 941, state returns, W-2s)
- Reconcile payroll bank and clearing accounts and support month-end and year-end close with supporting schedules, tie-outs, and variance commentary
- Review timesheets and payroll registers for accuracy prior to processing; research and correct wage discrepancies and adjustments
- Maintain documentation and internal controls over payroll accounting processes, support internal and external audits (e.g., workers’ compensation, 401(k), BLR, PTO accruals, benefit deductions), and recommend process improvements
- Bachelor’s degree in Accounting preferred
- Minimum 2 years of payroll and/or general ledger accounting experience, preferably in a multi-state, multi-entity environment
- CPP or FPC highly desirable
