The Accounts Payable Associate is responsible for processing and maintaining accurate records of company payables. This role ensures timely payment of invoices, compliance with company policies and accurate financial reporting while supporting the accounting team with daily operations.
Key Responsibilities- Review, code and process vendor invoices accurately and in a timely manner.
- Match invoices with purchase orders and receiving documents. (3 way match)
- Reconcile vendor statements and resolve discrepancies.
- Maintain organized and accurate accounts payable records and files.
- Respond to vendor inquiries and resolve payment issues.
- Assist with month-end closing activities related to accounts payable.
- Ensure compliance with company policies, procedures and internal controls.
- Support audits by providing required documentation.
- Perform data entry and general administrative accounting tasks as needed.
- High school diploma or equivalent. (Associate’s degree in Accounting or Finance preferred)
- 1–3 years of accounts payable or general accounting experience.
- Basic understanding of accounting principles and AP processes.
- Proficiency in accounting software and Microsoft Excel.
- Strong attention to detail and accuracy.
- Good organizational and time-management skills.
- Ability to work independently and as part of a team.
- Experience with ERP or accounting systems. (e.g., SAP, Oracle, Quick Books, Net Suite)
- Knowledge of tax regulations related to AP. (e.g., sales tax, 1099 reporting)
- Strong communication and problem-solving skills.
