SummarySupport daily operations at a high level by providing organized, reliable administrative support to the Director of Operations and broader leadership team. As an Administrative Assistant, you will help coordinate office activities, manage schedules and communications, and provide support across key functions including Payroll, HR, and Shipping. Your ability to stay organized, prioritize tasks, and keep information flowing will help ensure smooth, efficient operations across the facility.
This role is ideal for a proactive, detail-oriented professional who enjoys supporting leaders, working across teams, and contributing to a well-run, fast-paced environment.
Monday through Friday, 8:00am-5:00pm
Responsibilities- Manage supervisor’s calendar and independently schedule appointments, screen incoming calls, correspond and respond independently when possible.
- Arrange programs, events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget, specifically Goal Review and State of the Business.
- Preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
- Compose and prepare corporate documents and records, preparation and filing of corporate legal documents with government agencies to conform to statutes, compose and prepare confidential correspondence, reports and other complex documents.
- Arrange complex and detailed travel plans and itineraries and compile documents for travel-related meetings.
- Perform clerical and administrative duties supporting Director of Operations, Sr. Director of Operations, Vice President of Operations, and other plant management.
- Act as a liaison between Director of Operations and direct reports.
- High School Diploma or equivalent.
- Two years of experience in an office setting or equivalent.
- Good analytical and communication (both oral and written skills).
- Strong organizational and planning skills.
- Excellent time management skills and ability to multi-task and prioritize work.
Education and Experience
- Associate’s Degree.
- Proficient in Microsoft Office and common office equipment.
- In a dry environment with noise and light exposure.
- Will use office equipment such as a computer and calculator.
- Will occasionally need the following personal protection equipment if in the plant:
Hearing protection, steel toe boots, hard hat, lab coat and a hair net. - Will require occasional walking on a dry and wet surface.
- Requires being in an upright standing position occasionally with mostly stationary mobility.
- Requires sitting, occasional bending, twisting and lifting of up to 70 pounds.
- Very little grasping required.
- Travel may be required.
