10 Month School Based Secretary-Guidance
Ledyard Public Schools is seeking a School Based Secretary
- Guidance effective the start of the 26-27 School Year. This position is a 10 month, school based role at Ledyard Middle School. Under the general supervision of the school Administrator, the school based administrative assistant performs a wide variety of clerical, secretarial, and recordkeeping tasks.
- Serves as contact and reference source for staff, students, parents, and the public
- Greets visitors and answers public inquiries in a pleasant and professional manner and/or directing inquiries to the appropriate individuals
- Creates forms, compiles and organizes data and information necessary for the efficient operation of the office and completion of district, state, and federal reports
- Provides school-specific administrative support
- Maintains appointment and event calendars
- Uses the Visitor Management System
- Communicates effectively in routine, sensitive, and confidential matters
- Performs special assignments, studies, routine administrative functions and other related duties as assigned by the building administrator or designee
- Maintains attendance records and monitors student absences and tardies in Powerschool in accordance with BOE policy
- Assists the needs of students, substitute teachers, maintenance staff and others
- Plans and organizes work according to office procedures and established priorities
- Assists in obtaining substitute teachers and provides necessary school information
- Supervises or summons assistance for ill or injured students in absence of the school nurse
- Performs routine filing, word processing, typing, and related clerical support to the principal as required. Operates office equipment such as computer, calculator, and photocopier
- Independently compiles information for reports as directed by the principal. Performs special assignments, studies and routine administrative functions as directed
Skills and Abilities
- Excellent communication, interpersonal, organizational, and decision making skills; ability to work with employees and the public in a professional, effective, and courteous manner
- Ability to establish and maintain effective working relationships with school personnel, parents, students, and the public; works collaboratively as a team member
- Ability to maintain confidentiality of information regarding students, employees and others.
- Genuine interest in supporting the needs of students and staff
- Ability to carry out instructions furnished in written or oral form
- Ability to work with a diverse group of individuals
- Considerable knowledge of office management and standard operating procedures
- Highly developed ability to plan, organize and coordinate work
- Associate’s degree or equivalent work experience
- Working knowledge of G-Suite office software
- Works in standard office and school building environments
- Travel between schools, or between schools and central office, may be required
