The Facilities Operations Department is seeking two permanent Clerk Typist/Office Assistant positions within the Operations Center. These roles are classified as “Open to the Public”; current UConn NP-3 employees will be given preference. The Clerk Typist/Office Assistant acts as a Work Order Dispatcher with a focus on customer service in conjunction with the AiM computerized maintenance management system.

Salary Range for Clerk Typist: $43,364.00–$54,815.00 Yearly – Individuals new to state service start at the minimum of the pay plan.

Salary Range for Office Assistant: $48,365.00–$63,456.00 Yearly – Individuals new to state service start at the minimum of the pay plan.

The work schedules for these two positions are:

  • 2nd Shift, Tuesday – Saturday: 4:00 p.m. to 12:00 a.m.
  • 3rd Shift, Tuesday – Saturday: 12:00 a.m. to 8:00 a.m.

Duties include, but are not limited to: answering phones (trouble calls), entering service requests into the AiM system, determining work order priorities, assigning trade(s) to respond to calls, running reports as required, researching work order issues and statuses, monitoring the department’s shared email accounts, filing, preparing correspondence, cross‑training in other clerical assignments within the department, and completing special projects as assigned.

Essential skills: strong communication and interpersonal skills, reliability, commitment to teamwork, and customer service experience. The position may be required to supervise and train student employees.

The Operations Center serves as the point of contact for the Storrs and Regional Campuses. This group acts as the communication center for all inquiries, repair requests, and emergencies. The position is classified as Emergency Support Services/Essential Staff (ESS/ES) and may require working during emergency closures or delayed openings. Some overtime is required; the 2nd and 3rd shifts are eligible for differential pay.

Weekend differential applies to full 8‑hour shifts on Saturday or Sunday.

Example Duties – Typing:

  • Using computers, tablets and other electronic equipment to type a variety of materials from rough copy or electronic recording devices, including correspondence, memos, reports, forms, applications, bills and other documents, with speed and accuracy.
  • Reviewing and correcting drafts for conformance with originals.
  • Entering and retrieving data on electronic equipment.

Example Duties – Filing:

  • Setting up and maintaining records and files according to established procedures (e.g., alphabetical, numeric, chronological).
  • Searching files for information.

Example Duties – Correspondence:

  • Preparing and sending out standard form letters with minor revisions or additions.

Example Duties – Report Writing:

  • Compiling information from standard sources and preparing reports.

Example Duties – Interpersonal:

  • Answering phone, transferring calls, and taking messages.
  • Receiving and directing visitors.
  • Handling routine requests for information, procedural guidelines or assistance over the telephone or in person.

Example Duties – Processing:

  • Receiving, sorting and distributing mail.
  • Performing a variety of basic processing tasks (e.g., sorts, numbers, codes, and files materials), reviewing materials for accuracy and completeness, making changes per instructions or authorization, verifying information through cross‑referencing existing records.
  • Posting to ledgers, account books or other records.
  • Receiving payments for licenses, bills, applications, fines and fees.
  • Preparing, totaling and balancing receipts.
  • Typing and preparing purchase requisitions, orders or billing invoices.
  • Assisting in or maintaining inventory and ordering supplies.
  • Performing related duties as required.
