Senior Administrative Assistant – Global Conference Operations
Responsibilities- Perform diversified administrative tasks and special assignments in support of the GVP of Conference Operations and 6-8 Global Operations VPs, following company and department procedures.
- Interact professionally with senior executives internally and externally; work autonomously to manage projects and maintain communication with interested parties.
- Serve as "center of excellence," bringing together task forces across the company to problem‑solve complex issues.
- Analyze data, research ideas, and coordinate projects; act as project ambassador providing proactive support on important projects, meetings, presentations, etc., ensuring task forces are properly staffed.
- Build and maintain relationships across the Events business and the company to ensure collaboration on key initiatives.
- Make decisions within scope of responsibilities and identify problems within process flow; recommend and modify project processes to ensure efficiency and effectiveness.
- Fully manage the calendar of the GVP/VPs and collaborate with the staff of other members of the Conferences Leadership team and OC as needed.
- Coordinate detailed domestic and international travel arrangements, and meeting and event planning.
- Participate in team meetings/events and other activities that improve processes and morale.
- Provide support, mentoring and guidance to colleagues in the administrative role.
- Administrative duties include entering and reviewing T&E submissions, taking meeting minutes, scheduling conference and video calls, drafting communications, and creating spreadsheets/PowerPoint presentations.
- Bachelor’s degree preferred; advanced degree a plus.
- 8+ years of experience in an administrative or project management capacity.
- Ability to maintain complete confidentiality and discretion in business relationships and exercise sound business judgment.
- Experience with project coordination/management.
- Excellent work ethic and high sense of urgency.
- Excellent written and oral communication skills.
- Willingness and ability to travel domestically and internationally (approximately 5 times per year globally).
- Advanced problem‑solving, organizational and analytical skills.
- Proficiency in Microsoft Word, Outlook, PowerPoint and Excel.
- Highly organized with strong time management skills and a high attention to detail.
Base salary range: $45,000 – $60,000 USD, plus annual bonus plan or role‑based, uncapped sales incentive plan. Eligible employees participate in market‑leading benefit programs including generous PTO, a 401(k) match up to $7,200 per year, stock purchase program, and more.
