The Main Office Reception and Attendance Administrative Assistant serves as the first point of contact for students, staff, families, and visitors. This position plays a key role in maintaining a welcoming school environment while supporting daily attendance tracking and administrative operations. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and interpersonal skills.
Key Responsibilities:Front Desk & Visitor Management
- Greet and assist students, families, staff, and visitors in a friendly, professional manner.
- Answer and direct phone calls, take accurate messages, and respond to inquiries efficiently.
- Manage visitor check-in procedures and ensure compliance with district security protocols.
- Maintain a calm, welcoming, and orderly front office environment.
- Track daily student attendance, late arrivals, early dismissals, and absences in Power School.
- Follow up on unverified absences by contacting families in a timely manner.
- Generate and distribute daily and weekly attendance reports as required by school administration.
- Work closely with teachers, administrators, and support staff to ensure accurate attendance records.
- Organize and maintain office files, including confidential records.
- Distribute daily mail, announcements, and memos to appropriate staff.
- Assist with copying, scanning, data entry, and general clerical duties.
- Support the preparation of reports, letters, and documents using Microsoft Office and Google Workspace tools.
- Maintain a master calendar of daily school events, staff schedules, and attendance-related deadlines.
- Coordinate student sign-ins/outs for appointments or early dismissals.
- Support communication efforts between the school and families regarding attendance issues and office updates.
- Handle routine interruptions and emergencies with professionalism and discretion.
- Maintain a positive and respectful attitude in all interactions.
- Serve as a role model for students and staff through punctuality, reliability, and work ethic.
- Maintain confidentiality of student and staff records in accordance with district policies and legal guidelines.
- High school diploma or equivalent.
- One (1) to two (2) years of experience in clerical, administrative, or school office work.
- Proficiency with Power School or similar student information systems (or willingness to learn).
- Strong computer skills including Microsoft Office Suite and Google Workspace (Docs, Sheets, Slides).
- Excellent verbal and written communication skills.
- Ability to multitask, prioritize, and remain organized in a busy front office.
- Friendly, professional demeanor and the ability to interact effective with a diverse community.
- Strong attention to detail and ability to manage time-sensitive data accurately.
- Willingness to develop additional skills relevant to school office operations.
- Bilingual in Spanish or Portuguese preferred
