JOB SUMMARY
The Office of the Registrar at the University of Connecticut invites applications for a full-time, permanent Registrar Specialist (P3) position. Reporting to an Assistant Registrar, this role is responsible for managing multiple high-level, detail-oriented projects focused mainly on audit, compliance, and operational support while delivering exceptional customer service in a high-volume environment. The successful candidate will demonstrate the ability to work with accuracy, efficiency, and professionalism in a fast-paced and dynamic setting.
DUTIESAND RESPONSIBILITIES
- Review, analyze, and update departmental processes, documentation, and data systems (including student information systems, financial reporting, and research protocols) to ensure regulatory compliance.
- Research, interpret, and apply complex federal, state, and institutional regulations; assist in the development and revision of university policies and procedures to reflect regulatory changes and improve operational efficiency.
- Review and process voluntary and involuntary student separations to ensure accurate and compliant administration.
- Enter, review, and maintain student data in People Soft and National Student Clearinghouse systems; collaborate with Financial Aid to ensure accurate reporting to the National Student Loan Data System (NSLDS).
- Review National Student Clearinghouse reports for accuracy and compliance; collaborate with campus partners to troubleshoot system issues and perform analysis, testing, and validation.
- Assist in establishing, documenting, and maintaining internal timelines and procedures for enrollment reporting to ensure compliance with NSLDS guidelines.
- Provide guidance, technical assistance, training, and outreach to faculty, staff, and stakeholders regarding compliance requirements and best practices.
- Manage and maintain student records in accordance with FERPA, record retention standards, and applicable federal, state, and institutional regulations.
- Independently manage short- and long-term special projects, leveraging technical expertise and comprehensive knowledge of Registrar operations and systems.
- Research archived records and historical documentation to support internal and external inquiries related to catalogs, bylaws, and record-keeping regulations.
- Test system upgrades, patches, and enhancements related to student records data; develop and update procedural and technical documentation.
- Deliver high-quality customer service to students, faculty, staff, and the public via phone, email, and in-person interactions in a high-volume environment.
- Provide operational support to the Registrar’s Office, including processing registration requests, program and plan changes, advisor updates, biographical changes, transcripts, enrollment and degree verifications, and grade additions or changes.
- Perform related duties as assigned.
