Position SummaryThe Project Coordinator is a key customer-facing role responsible for coordinating multiple automation projects from order through completion. Working closely with the Senior Vice President of Operations, this person will keep projects organized, on schedule, and aligned with customer expectations while serving as a primary point of contact for assigned customers.
The Project Coordinator will coordinate with customers and internal teams across engineering, controls, electrical, mechanical, purchasing, assembly, and service. Responsibilities include scheduling project kickoffs, tracking timelines and action items, coordinating customer deliverables, leading regular project check-ins, and ensuring open items are followed through to completion.
The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple priorities. Strong communication and follow-up skills are essential, along with the ability to learn technical concepts and confidently work with both customers and technical teams. Technical expertise is not required.
Projects typically have a six-month lifecycle, with the Project Coordinator progressively taking ownership of multiple projects and ultimately managing approximately 10 projects at various stages. Success in this role means keeping projects on track, maintaining strong customer relationships, and ensuring critical deliverables and action items are completed on time.
Essential Functions And Responsibilities- Coordinate customer projects from order through completion and transition to service.
- Schedule and support project kickoff meetings, customer check-ins, and FATs.
- Develop agendas, track timelines, milestones, action items, and project deliverables.
- Serve as the primary point of contact for assigned customers and manage expectations.
- Coordinate customer requirements, including samples, drawings, specifications, change parts, consumables, and utilities.
- Maintain organized project and sample records, to-do lists, and punch lists.
- Coordinate with engineering, controls, electrical, mechanical, purchasing, assembly, and service teams to keep projects on schedule.
- Identify and communicate potential delays, missing information, and project risks.
- Provide regular project updates to the Senior Vice President of Operations and elevate critical issues as needed.
- Support project closeout and transition completed projects to the service team.
- Utilize Microsoft Office, Adobe, P-Touch, and other company systems as needed.
- Perform other project coordination and operational duties as assigned.

Qualifications Desired- Bachelor's degree in Business, Project Management, Engineering, Operations, or related field preferred.
