We are seeking a dependable, organized, and customer-focused Office Administrator to support daily office operations at our Conroe, Texas location. This position serves as an important point of contact for customers, sales representatives, dispatch, production, and management.
The ideal candidate is bilingual in English and Spanish, communicates professionally, maintains strong attention to detail, and can manage multiple priorities in a fast-paced environment. This role requires accuracy, responsiveness, and the ability to work effectively both independently and as part of a team.
Essential Duties & ResponsibilitiesCustomer Service & Order Processing
- Answer incoming telephone calls and respond professionally to customer and sales inquiries.
- Monitor and respond to customer and sales communications received by email.
- Enter customer orders accurately and within established time frames.
- Provide customers with timely and accurate information regarding orders, products, availability, and deliveries.
- Process walk-in customer transactions and payments.
- Maintain a professional and welcoming office environment.
- Resolve customer concerns when possible and escalate complex issues to the appropriate manager.
Dispatch & Delivery Coordination
- Work closely with the dispatch team to coordinate customer deliveries.
- Communicate order details, delivery requirements, and scheduling updates accurately.
- Assist with resolving delivery conflicts, scheduling issues, and order discrepancies.
- Keep customers and appropriate team members informed of changes or delays.
Inventory & Reporting
- Monitor inventory levels and notify the appropriate personnel when inventory is low.
- Maintain accurate records related to orders, transactions, inventory, and office activities.
- Prepare and complete reports, documentation, and other assignments by established deadlines.
- Review information for accuracy and correct discrepancies promptly.
Administrative Support
- Provide clerical and administrative support to the Office Manager, Production Manager, and Supervisors.
- Assist with data entry, filing, recordkeeping, document preparation, and general office organization.
- Coordinate information between customers, dispatch, production, sales, and management.
- Perform additional administrative duties and special projects as assigned.
- Bilingual in English and Spanish is required.
- Strong verbal and written communication skills in both languages.
- Proficiency in Microsoft Office, including Excel and Word, and the ability to learn other computer applications.
- Candidates will be required to complete a computer proficiency assessment.
- Strong organizational, time-management, and multitasking abilities.
- Excellent attention to detail and commitment to accurate data entry.
- Strong customer service and problem-solving skills.
- Ability to work independently with limited supervision and collaborate effectively with a team.
- Ability to maintain professionalism when handling competing priorities and challenging customer situations.
- At least two years of administrative, office support, order-entry, or customer-service experience in a fast-paced environment.
- Previous experience supporting dispatch, production, manufacturing, transportation, or distribution operations.
- Experience processing customer transactions and payments.
- Familiarity with inventory tracking, delivery scheduling, and order-management systems.
- Full-time, on-site office position in Conroe, Texas.
- Regular interaction with customers, drivers, dispatchers, production personnel, supervisors, and managers.
- Fast-paced work environment requiring frequent communication, accuracy, and timely completion of assignments.
