Intake Specialist – Client Onboarding The Woodlands, TX

HCM is looking for a highly organized, communicative, and process-driven Intake Specialist to manage the critical transition between our Sales organization and the Client Onboarding team. You'll serve as the initial face of onboarding — translating high-level sales agreements into concrete implementation realities and ensuring absolute alignment before the technical build ever begins.
This role is what prevents chaos at the starting line — making sure every new client arrives at implementation with their data gathered, their expectations set, and their team ready. It's the right fit for someone who’s exceptionally organized, thrives on proactive communication, and takes real pride in setting others up for success.
What you’ll doPartner directly with the Sales team to conduct comprehensive discovery calls with key client decision-makers, confirming conversion requirements, auditing data needs, and locking in realistic implementation timelines.
Take ownership of the initial collection of critical client assets — including historical employee wage data, prior tax liabilities, and sensitive banking documentation — well ahead of the Project Manager initiating the technical build.
Maintain immaculate records in Salesforce throughout the intake process, ensuring all client information is accurate, complete, and ready for handoff.
Execute a formal, thoroughly documented internal handoff to the implementation team, guaranteeing every new client begins their Alliance
HCM journey with clarity and momentum.
Serve as a proactive communication bridge between Sales and Onboarding, flagging scope misalignments, missing data, or unrealistic timelines before they become implementation problems.
What we’re looking for3+ years of experience in SaaS customer service, onboarding, or sales operations.
Experience working with CRM systems — Salesforce strongly preferred.
Strong foundational understanding of payroll, HR, and HCM processes.
Exceptional communication and stakeholder management skills.
Highly organized with a proven ability to manage multiple clients and work independently.
Nice to haveExperience in a handoff or transition coordination role between sales and implementation teams.
Familiarity with HCM, payroll, or benefits data requirements during client onboarding.
Background in process documentation or CRM data hygiene management.
