Outreach and Community Engagement Fiscal Support Coordinator

Position Summary:

The Outreach and Community Engagement Fiscal Support Coordinator performs client‑facing tasks related to the division’s financial processes and supports each of the following teams:
Center for Community and Economic Development, Community Learning and Workforce Services, Conference and Event Services, UCA Aviation Academy, Arkansas Coding Academy, and Outreach Administration.

Job Duties and Responsibilities
  • Provide support for internal and external clients related to registrations, refunds, invoices, and other inquiries related to their transactions.
  • Manage the accounts receivable and payable for the division, including coordinating with each team to issue accurate invoices to internal and external clients, making adjustments to invoices, seeking collections, providing invoices to Accounts Payable, and processing supplies and services requisitions.
  • Coordinate the daily deposit and ensure all cash handling procedures are completed including logging mailed payments, applying check and EFT payments to accounts, and processing refunds.
  • Coordinate the close‑out process for all events and non‑credit courses in collaboration with each team, including requesting required documentation, reviewing and auditing information for accuracy and quality assurance, confirming/processing payment to internal/external vendors, and sending appropriate bills to clients/participants.
  • Create and maintain budget planning documents in collaboration with each team to facilitate effective budget management and make budget adjustments as requested, including grant budgets.
  • Complete p‑card and t‑card liaison duties for all teams within the division, and work with each team to make adjustments to p‑card and t‑card PO balances as needed.
  • Coordinate the review of ADHE Workforce Challenge scholarship rosters by members of the Arkansas Coding Academy, Aviation Academy, and Community Learning and Workforce Services teams, upload verified rosters to accept Workforce Challenge scholarships, and correctly apply Workforce Challenge scholarship payments to the appropriate cost centers.
  • Create and maintain any other databases, spreadsheets, and other planning and reporting tools as needed to support internal and external clients and all OCE teams in financial processes, including grant budget tracking.
  • Research and provide information for external clients and all OCE teams about funding for non‑credit, workforce, and professional skills training.
  • Assist the Director of Finance with fiscal monthly and year‑end closing procedures.
  • Performs other duties as assigned.

Knowledge of accounting principles and database management; knowledge of software applications; knowledge of applicable laws, regulations, and policies of the assigned section; knowledge of customer service techniques; ability to comprehend and assimilate technical and business related documents; ability to apply policies and procedures and other applicable regulations associated with the assigned department or program; ability to conduct research, perform quantitative quality assurance reviews, and prepare reports.

Education and Experience

Formal education equivalent of a bachelor’s degree in general business, finance, or a related field required; other job‑related education and/or experience may be substituted upon approval of the review committee.
