Job Summary

The Administrative Assistant to the Chief Operations Officer provides high‑level administrative support to the Chief Operations Officer, ensuring the efficient operation of the Operations Administration office. This role involves handling confidential information, managing communications, coordinating schedules, and serving as a liaison between the Chief Operations Officer and internal/external stakeholders.

Responsibilities
  • Manage and prioritize the Chief Operations Officer's schedule, including appointments, meetings, and travel arrangements.
  • Serve as the primary point of contact for communications with the Chief Operations Officer's office, including handling correspondence, emails, and phone calls.
  • Prepare handbooks, presentations, meeting agendas, and other documentation for the Chief Operations Officer.
  • Maintain an organized filing system for records and confidential documents. Assist in coordinating and preparing materials for Facilities Committee meetings, including drafting meeting minutes.
  • Organize and facilitate meetings, conferences, and special events on behalf of the Chief Operations Officer's office.
  • Handle sensitive matters with professionalism, discretion, and confidentiality.
  • Perform other duties as assigned by the Chief Operations Officer.
Other Duties
  • Stay abreast of educational research, leadership practices, and school improvement trends.
  • Perform other duties as assigned by the principal or appropriate district administrator.
Minimum Qualifications
  • Two years of post‑secondary training or an equivalent combination of education and experience in executive administration, office management, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  • Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders.
  • Ability to manage multiple priorities, meet deadlines, and work under pressure in a fast‑paced environment.
  • Must exercise discretion and maintain confidentiality in handling sensitive matters.
  • Ability to anticipate needs, take initiative, and work proactively with minimal supervision.
