This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Waccamaw Center for Mental Health, 164 Waccamaw Medical Park Dr, Conway, SC 29526. As the Administrative Specialist II, in the Conway Front Office of the Waccamaw Center for Mental Health, you will perform a variety of essential administrative tasks under the direct supervision of the Office Manager.

Additionally, you will apply both written guidelines and established operational practices to execute daily duties that directly impact the efficiency and success of the Conway Office.

Responsibilities for the Administrative Assistant:

  • Manage the patient intake process, ensuring all documentation complies with OMH policies, quality standards, and annual consent updates.
  • Proactively offer voter registration assistance to patients in accordance with South Carolina state law.
  • Verify and update patient insurance information in Avatar; discuss outstanding balances with patients, collect payments, and ensure full compliance with Financial Services guidelines.
  • Schedule appointments and actively monitor medical staff calendars to maximize patient care hours, backfill cancellations, and process daily portal reminders or rescheduling requests.
  • Provide an outstanding patient experience by warmly greeting visitors upon arrival and departure, answering phone calls professionally, and addressing all needs with respect and responsiveness.
  • Serve as the backup for medical records requests, processing transfers promptly under OMH policies while maintaining strict adherence to the agency's Corporate Compliance Policies and Plan.
Minimum and Additional Requirements
  • A high school diploma. Related clerical experience may be substituted for a high school diploma.
  • Provide a valid driver's license and a 10-year driving record.
  • Must be able to hear at normal volumes, stand, walk, reach, pull, stoop and bend.
  • Ability to lift forty (40) pounds and climb two (2) flights of stairs.
Preferred Qualifications
  • Bilingual abilities in English and Spanish (another language) are a plus.
  • A high school diploma and 2 years of clerical experience; or an associate degree in Secretarial Science or other related; or 3 years.

  • Demonstrate a thorough understanding of office management principles to make independent, secure decisions regarding sensitive client operations.
  • Maximize front-office efficiency using multi-line switchboard systems, electronic medical scheduling tools, and core computer applications.
  • Convey information clearly, courteously, and professionally during all in-person and telephone interactions with patients, visitors, and colleagues.
  • Prioritize and execute concurrent tasks in a fast-paced clinical environment, adjusting fluidly to shifting daily operational demands.
