Job SummaryThis position is responsible for providing highly responsible administrative work for the Sheriff’s Office and assists the employee’s assigned bureau with civil, administrative and clerical tasks. The position is responsible for compiling and providing information to agency staff, preparing and maintaining records and reports, providing customer service and maintaining files related to his/her job assignment. The position works under general supervision, independently developing work methods and systems.
MajorDuties
- Completes special projects by organizing and coordinating information and requirements; planning, arranging and meeting schedules; monitoring results.
- Composes and prepares various documents as required for the job assignment.
- Maintains files and information needed to prepare correspondence/reports that require research of records, compose letters; proofreads and edits documents prepared in the Sheriff's Office.
- Provides historical reference by developing and utilizing filing and retrieval systems.
- Maintains professional and technical knowledge by attending educational workshops; benchmarking professional standards; reviewing professional publications; establishing personal networks.
- Contributes to team effort by accomplishing related results as needed.
- Resolves administrative problems by coordinating preparation of reports, analyzing data and identifying solutions.
- Provides information by answering questions and requests.
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
- Performs other related duties as required.
- Thorough knowledge of Sheriff’s Office policies and procedures as well as applicable legal practices, policies and procedures necessary in the completion of daily responsibilities.
- Knowledge of efficient time management and organizational practices to include scheduling, prioritizing and delegating responsibility as needed.
- Knowledge of Georgia open records, record maintenance and retention laws.
- Ability to handle multiple interruptions and adjustments to priorities throughout day.
- Ability to establish and maintain effective working relationships with co-workers, law enforcement officers and the general public.
- Ability to deal with the general public in person or by phone, as well as employees of the various county offices in all types of contacts arising during daily work activities.
- Ability to maintain strict confidentiality.
- High school diploma or equivalent.
- Associate degree in a related field preferred.
- Three years of related experience.
- May be required to demonstrate data entry skills through the completion of a skills test during the preemployment process.
- Equivalent combination of education and experience.
