Position Summary

We have an exciting opportunity to join our team as an Appointment Coordinator - Part Time 9AM-5PM; rotating schedule/shifts - Radiology.

In this role, under general supervision, the successful candidate interviews patients to obtain necessary identification information and prepares forms to receive services while ensuring accurate billing and insurance information is collected. Demonstrates the ability to work with groups of all ages to provide clerical support services, considering the physical and psychosocial needs related to age. Interacts and communicates effectively with customers.

Performs other clerical duties as assigned by a supervisor.

Job Responsibilities
  • Properly greets patient.
  • Properly identifies patient.
  • Prepares patient in an appropriate position.
  • Follows IC procedures (gloves, hand washing).
  • Labels and documents tubes and label sets accurately.
  • Follows policies and procedures for sharp disposal.
  • Maintains a clean, neat, and professional working appearance.
  • Ensures patient safety (e.g., bed rails up when applicable).
  • Inputs results into the appropriate system (Novius).
  • Explains procedures and reassures the patient.
  • Protects privacy and confidentiality of the patient (closing curtains, etc.).
  • Refers questions to the appropriate person (e.g., Nursing, Supervisors).
  • Identifies any additional needs of the patient and acts accordingly.
  • Reports unusual conditions to supervisor or nursing and documents on label set and in computer.
  • Identifies self, wears hospital , and clarifies role to patient clearly and respectfully.
  • Understands general computer operation for the area and prepares documents in the computer, including deletions, additions, or changes in orders.
  • Properly documents all pertinent patient information.
  • Delivers all STAT requests to the laboratory.
  • Relays to supervisor any conflict in specimen identification or labeling.
  • Handles equipment per laboratory policy and communicates status to appropriate personnel.
  • Completes work or informs coverage of processing stages and outstanding issues.
  • Understands computer downtime procedures.
  • Manages light stock and ensures adequate supplies are available.
  • Maintains cleanliness of work environment and equipment in collaboration with other staff.
  • Assists with infection prevention by adhering to Standard Precautions and effective handwashing.
  • Identifies safety hazards and acts promptly and appropriately.
  • Ability to concentrate and pay attention to detail for up to 90% of work time for computer tasks and 95% for filing radiology records; can stand and walk up to 90% of work time when filing or retrieving records or duplicating film.
  • Ability to lift/carry up to 25 lbs occasionally and push/pull up to 75 lbs occasionally.
  • Ability to bend, squat, kneel, and reach above shoulders occasionally.
  • Communicates with insurance companies to obtain proper pre-authorization when necessary.
  • Provides Patient Bill of Rights, Advance Directive, and other patient education materials.
  • Retrieves/returns voice-mail messages in a timely manner.
  • Obtains adequate medical/insurance information from patients or referral sites and provides correct preparation for scheduled examinations.
  • Schedules examinations in appropriate time slots, coordinating multiple exams.
  • Refers questions to Supervisors and/or Radiologists as needed.
