Duties & Responsibilities Will act as a receptionist and supply clerk; performing all job duties therein entailed. Will be responsible for organizing and prioritizing work load. Handle maintenance on office equipment. Deal effectively with the public and members on a daily basis through face‑to‑face, telephone and electronic communications. Be able to effectively multi‑task.
Functions
Handle a multi-line telephone system. Ensure the appropriate answering service is on for night, weekend, serving weather, and holiday schedule.Effectively communicate and handle the public, members, member’s families and co-workers.Verifying insurance with the corporate billing department.Be in charge of all scheduling and schedule changes for the MD, Nurse Practitioner, and Therapist.Call and confirm daily appointments with service recipients.Checking service recipients in upon arrival and notifying the providers of the kept appointment.Follow-up with missed appointments.Completing front desk memo to charts.Email weekly and monthly schedules to the residential facilities.Audit charts daily for upcoming appointments.Send all receipts to corporate office weekly.Maintain petty cash and submit for reimbursement as needed.Ensure postage is available and add postage when needed.Get all deposits ready for GMHC and send deposit information to corporate.Complete the sliding scale fee forms and submit to corporate office.Gather all monthly statistical data and other information as directed by the Executive Director.Assist Medical Records as necessary.Will collect admission paperwork for all new members and assist them with filling out that paperwork.Copy prescriptions by MD/NP to be scanned into service recipient’s EHR.Assist MOT Coordinator.Responsible for the gathering and distribution of incoming and outgoing mail.Will comply with all State and Federal laws in regards to maintaining the privacy of members.Perform other duties or tasks assigned by the Executive Director.Qualifications
- Education: High School Diploma required. College Degree preferred.
- Experience: At least two (2) full years of office experience. Preferably three (3) – five (5) years.
Physical Demands
Sits and walks intermittently throughout the day. The ability to handle a variety of office equipment.
Special Demands
Ability to meet and deal with a variety of employees, members, and member’s family members. Must have the ability to multi‑task in a fast‑paced environment. Must have a memory for details. Considerable initiative and judgment needed in promoting favorable public relations.
