Job SummaryAs the first point of contact for patients and clients at Courage Kenny Rehabilitation Institute, the Rehabilitation Services Coordinator plays a vital role in creating a welcoming and supportive environment. With empathy and attention to detail, you ensure that each individual feels seen, heard, and cared for from the moment they arrive. You manage the check‑in process with warmth and efficiency, verifying that all department records and demographic information are complete and accurate.
Your work ensures that every patient’s care begins on a solid foundation. In addition, you’ll coordinate and schedule future appointments, helping patients stay on track with their rehabilitation journey.
- 1.0 FTE (80 hours per two‑week pay period)
- 8‑hour day/evening shifts (within clinic hours, ranging from 6:30 am‑6:00 pm)
- No weekends
- This is a float position that will cover the CKRI and Courage Kenny Sports and Physical Therapy locations in the North and Metro Region (eligible for mileage reimbursement)
The Rehabilitation Services Coordinator is the first point of contact for patients or clients receiving services in the Courage Kenny Rehabilitation Institute. Ensuring the check‑in process, department records and demographic information is complete and accurate, and scheduling appointments for future visits.
Principle Responsibilities- Scheduling
- Schedules and/or reschedules patient appointments, procedures, diagnostic tests and other related appointments.
- Enters all scheduling documentation in the electronic medical record.
- Registers patients, verifies insurance and obtains prior authorizations as needed.
- Creates, deletes and modifies schedule versions and calendars to reflect changes in Therapist schedules.
- Arranges interpreter services for patients as needed.
- Administrative department support
- Provides department reception, patient check‑in and telephone coverage, routing messages accordingly.
- Organizes and maintains department records, manuals and patient education materials.
- Participates in completion of patient data reporting requirements and compliance with regulatory standards.
- Creates and maintains all training materials for new and current employees.
- Assists physicians with reimbursements/expense reports, physician credentialing, charge capture and medical records.
- Provide department support
- Maintains governmental payor logs, including faxing.
- Updates patient charts.
- Assists department with sending email communication related to initial patient assessments.
- Chart preparation
- Analyzes patient records to determine if outside documents are needed.
- Contacts document source, obtains records, scans and indexes into the electronic medical record.
- Other duties as assigned.
- Must be 18 years of age with education and/or experience needed to meet required functional competencies as listed on the job description
- High school diploma or GED
- Customer service experience
- 1+ years scheduling experience in a healthcare setting
- Experience with EPIC
- 1+ years in person customer service
- Experience working with patients
- Sedentary
- Lifting weight up to 10 lbs. occasionally, negligible weight frequently
Pay Range: $22.04 to $30.01 per hour. The pay described reflects the base hiring pay range. Your starting rate would depend on a variety of factors including, but not limited to, your experience, education, and the union agreement (if applicable). Shift, weekend and/or other differentials may be available to increase your pay rate for certain shifts or work.
