The Opportunity
West Coast Contractors is seeking a Finance & Administration Manager to lead accounting, financial reporting, job cost visibility, office operations, and administrative processes for a long-standing, family-run heavy civil contractor in Coos Bay, Oregon.
This is a high-impact, hands-on leadership role with direct visibility to ownership. The company is approximately $50M-$60M in annual revenue today, with a goal of scaling toward $120M over the next five years.
You will step into a critical seat where your ability to strengthen financial reporting, build structure, lead the office team, and improve systems will directly support the company’s next stage of growth.
This is not a narrow accounting role - it is a build-and-lead opportunity for someone who can move finance from basic reporting into a stronger Controller / Finance & Administration leadership function.
What You’ll Do- Own the monthly close process
, including reconciliations, journal entries, financial reporting, P&L, balance sheet, and cash flow visibility for ownership. - Produce and improve job cost reports, WIP schedules, cash flow reporting
, margin visibility, and project-based financial insights. - Oversee accounting and office operations
, including AP, payroll, administrative support, documentation, compliance, and day-to-day workflow. - Lead and develop a small accounting/administrative team with a balance of empathy, accountability, training, and clear expectations.
- Support project managers, estimators, and field supervision with cost reports, billing support, paperwork flow, and timely financial answers.
- Provide oversight of payroll processes, with union payroll, certified payroll, prevailing wage
, and public works exposure considered highly valuable. - Standardize SOPs, workflows, internal controls
, and documentation around accounting, payroll, job cost, billing, and office administration. - Partner with outside CPA, banking, insurance, bonding
, and financial partners to ensure accurate reporting and strong business support. - Help evaluate and better utilize systems, including Vista / Trimble, Bid2

, Excel, and potential future ERP or process improvements.
- 5-10+ years of progressive accounting, finance, or business operations experience, ideally in construction, heavy civil
, or another project-based environment. - Experience with monthly close, financial reporting, job costing, WIP, cash flow
, budgeting, forecasting, or project-based reporting. - Strong understanding of accounting operations, internal controls
, AP, AR, payroll, reconciliations, and general ledger activity. - Payroll oversight experience;
union payroll, certified payroll, prevailing wage
, or public works compliance experience is a strong plus. - Strong Excel and systems aptitude
; experience with Vista / Trimble, Bid2
Win, Sage, Viewpoint, or similar construction systems is a plus. - Ability to lead a small team
, build trust with long-tenured employees, coach newer team members, and bring structure without creating unnecessary friction. - High integrity
, strong attention to detail, sound judgment, humility, and the ability to own mistakes, solve problems, and communicate clearly. - Comfortable working onsite in Coos Bay and serving as a central hub between ownership, office staff, project teams, and the field.
- Direct access to ownership - this role reports to the Owner / President and serves as the top in-house leader for accounting and office operations.
- Build and improve - the company is implementing EOS and becoming more structured, scalable, and data-driven.
- Long-term growth runway - as the company grows, this role could evolve toward Controller, VP Finance, or broader finance leadership responsibility.
