Island is seeking a dedicated Office Administrator to serve as the first point of contact for our guests and clients. This role is pivotal in ensuring the smooth operation of our office by managing front desk activities and providing exceptional customer service.
Responsibilities:
* Oversee the day-to-day operations of the headquarters office, ensuring a productive, organized, and welcoming workplace for employees and visitors.
* Serve as the primary point of contact for the office, greeting visitors, coordinating guest access, and supporting employee needs.
* Manage office supplies, kitchen inventory, and workplace amenities, ensuring the office is well stocked and operational for a team of 150+ employees.
* Coordinate with vendors and building management for office maintenance, repairs, deliveries, and facility-related needs.
* Support new hire onboarding and employee transitions, including workspace setup, office access, and coordination with internal teams.
* Plan and support company culture initiatives and employee engagement activities, including monthly happy hours, team gatherings, and community partnership events such as Special Olympics initiatives.
* Assist leadership and cross-functional teams with meeting coordination, scheduling, and logistics for internal events and company gatherings.
* Maintain organized office systems, documentation, and administrative processes to ensure operational efficiency.
* Track and assist with office-related budgets, vendor invoices, and purchase requests as needed.
* Help maintain a positive employee experience, ensuring the office environment reflects the company's culture and supports collaboration.
* Identify opportunities to improve office processes, workplace organization, and employee services as the company continues to grow.
Requirements
* High school diploma or equivalent; additional qualifications will be a plus.
* A minimum of 2 years of experience in a front desk or administrative role.
* Excellent verbal and written communication skills.
* Proficiency in Microsoft Office suite (Word, Excel, Outlook).
* Strong organizational and multitasking abilities.
* Strong phone/communication skills
* * Customer service-oriented with a professional appearance.
* Ability to handle sensitive information with confidentiality.
