The DOT & Vehicle Registration Specialist is responsible for ensuring the company’s commercial vehicles remain compliant with all federal, state, and local registration requirements. This position manages vehicle registrations, titles, licensing, and DOT-related compliance activities while maintaining accurate records in the Holman Fleet Management System and applicable government portals.
DOT Compliance
- Maintain company USDOT registration information.
- Monitor DOT compliance deadlines and renewal requirements.
- Maintain commercial vehicle compliance records.
- Assist with DOT audits by providing required documentation.
- Monitor changes to FMCSA and state DOT regulations affecting fleet operations.
Vehicle Registration & Titling
- Process new vehicle registrations and renewals.
- Coordinate vehicle title applications and transfers.
- Manage license plate issuance, replacement, and transfers.
- Obtain temporary registration permits when needed.
- Ensure vehicles remain properly registered in all operating states.
- Maintain accurate registration and title records.
- Coordinate with state DMVs, registration vendors, and licensing agencies.
- Maintain accurate registration and title information within Holman.
- Track registration expiration dates and renewal status.
- Upload and maintain registration, title, and licensing documents.
- Generate registration status and compliance reports.
- Coordinate registration activities with Holman representatives.
Record Management
- Maintain electronic registration and title files.
- Ensure documentation is complete, accurate, and audit-ready.
- Prepare reports for Fleet, Safety, Accounting, and Operations.
- Track registration fees and renewal schedules.
Required Qualifications
- High school diploma or equivalent (Associate’s degree preferred).
- 2–3 years of experience in commercial vehicle registration, fleet administration, or DOT compliance.
- Experience processing multi-state commercial vehicle registrations.
- Experience using the Holman Fleet Management System.
- Proficiency with Microsoft Excel, Word, and Outlook.
- Strong attention to detail and organizational skills.
Preferred Qualifications
- Experience supporting a multi-state commercial fleet.
- Knowledge of FMCSA regulations and commercial vehicle registration requirements.
- Experience working with state DMV and DOT portals.
- Familiarity with telecom, construction, or utility fleet operations.
Knowledge
- Commercial vehicle registration and titling procedures.
- FMCSA regulations applicable to commercial fleets.
- State DMV requirements.
- Commercial license plate classifications.
- Vehicle title and ownership documentation.
