Executive Assistant To The Chief Legal Officer
The Executive Assistant to the Chief Legal Officer (CLO) provides high-level administrative support to ensure the efficient operation of the Legal function. This role is responsible for managing complex scheduling, coordinating meetings, handling expense reporting, managing the legal invoice and approval process, and supporting document preparation. The ideal candidate is highly organized, detail-oriented, discreet, and able to manage competing priorities in a fast-paced environment.
Key ResponsibilitiesCalendar & Scheduling Management
- Manage and maintain the CLO's complex and dynamic calendar
- Coordinate internal and external meetings, including executive leadership, and external partners
- Prioritize meeting requests and proactively resolve scheduling conflicts
- Prepare meeting materials and ensure the CLO is appropriately briefed
Expense Management
- Prepare, submit, and reconcile expense reports in Concur in a timely and accurate manner
- Track departmental expenses and ensure compliance with company policies
- Coordinate travel arrangements as needed
Administrative & Document Support
- Assist in drafting, formatting, and editing legal and business documents
- Support preparation of presentations, reports, and correspondence
- Handle confidential and sensitive information with discretion
- Shepherd legal invoice and approval process to conclusion
Communication & Coordination
- Serve as a point of contact between the CLO and internal/external stakeholders
- Facilitate cross-functional coordination and follow-up on action items
Qualifications
Education & Experience
- 5+ years of experience supporting senior-level executives (C-suite experience preferred)
- Experience supporting Legal or corporate functions is a plus
Required Competencies
- Master in Microsoft Word, PowerPoint, and Outlook
- Experience with Concur expense reporting
- Exceptional time management and organizational skills
- Strong attention to detail and accuracy
- Excellent verbal, written, and interpersonal communication skills
- Ability to manage multiple priorities and meet deadlines
- High level of professionalism and discretion

Fulltime, M-F 8:30-5:30
