Receptionist, Administrative/Clerical

We are currently seeking a dedicated Receptionist to join our team. The successful candidate will be responsible for creating a welcoming environment for the company, its external and internal customers, and guests; directs, routes and coordinates business communication; and responds to inquiries.
What You’ll Do:
Reception
Answers and directs all incoming calls in a polite, professional and timely manner
Greets clients upon arrival, provides visitor orientation and connects them with the appropriate on‑staff host
Co-ordinates courier traffic, advises when parcels arrive and have delivered internally if required
Monitors incoming general e‑mail and directs to appropriate parties.
Takes accurate and complete messages & ensures the message gets to the appropriate recipient
Truck Mail
Receives, processes and sorts "Truck Mail" inbound from branches and agents for internal customers
Completes truck mail delivery in Truckmate then signs and scans in POD image
Receives, processes and sorts all mail
Copies and highlights all cheques for Accounts Receivable Department
Runs a tape for deposit and provides to POD Clerk
Assists with outbound mail
Compiles scanned forms by the month for filing.
Maintains neat and orderly reception area
Assists with minor telephone programming issues as needed
Maintains accurate internal extension list and Branch/Agent information
Assists Customer Service Rep with company employee clothing program when required
Assists Customer Service Rep with Union Gospel Mission support and programs when required
Manages missing BOL image report
Assists with Unbilled report
Participates in Social Committee
Assists with mail out of weekly invoices
Provides Accounts Receivable Department with invoice reprints as required
Assists various departments with administrative support as required
Manages coffee inventory and PO
Processes all credit card payments
Performs other related duties as assigned
What You Have:
Completion of a recognized post‑secondary education in Business Administration or a related field, with two (2) years' experience in an office environment; or an equivalent combination of education, training and experience.
Knowledge of Freight Industry preferred
Experience with multi‑line telephone system
Advanced level use of the Microsoft Office suite of programs with basic to intermediate knowledge in Excel
Demonstrated understanding of filing systems and file management
Ability to work effectively as part of a team; collaborating with others to achieve goals and objectives
Exceptional interpersonal and customer relations skills
Positive attitude that communicates job related issues with a constructive, problem solving approach
Excellent communication skills, both written and oral, in order to be effective in requesting and delivering information
Highly organized with a proven ability to effectively prioritize work to meet deadlines
Ability to work independently, problem solve and be attentive to details
Ability to maintain a high degree of confidentiality and commitment to service excellence
Ability to function effectively in a dynamic, fast paced environment
Flexibility to work different shifts and overtime as required
