Administrative Assistant

Location: Miami, FL

A leading vertically integrated real estate investment firm specializing in the acquisition and management of shallow-bay industrial properties is seeking a highly organized and proactive Administrative Assistant to join their Miami team. This role is ideal for a professional who thrives in a fast-paced environment, is detail-oriented, and enjoys providing top-tier administrative support.

Key Responsibilities:

  • Office Management
  • Coordinate meetings, appointments, and travel arrangements, ensuring schedules run smoothly.
  • Serve as the first point of contact for visitors, handle phone calls, manage incoming deliveries, and oversee mail distribution.
  • Maintain office supplies and equipment, ensuring a well-organized and functional work environment.
  • Administrative Support
  • Accurately input and maintain data in company databases and spreadsheets.
  • Assist executives and senior staff with daily administrative tasks to keep operations efficient.
  • Perform general administrative duties, provide basic bookkeeping support (bookkeeping experience is a plus), and manage records and scheduling using Microsoft Office Suite.

Qualifications:

  • Minimum of 3 years of experience supporting an executive or manager.
  • Strong organizational and multitasking skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills, including professional email and phone etiquette.
  • Proficiency in Microsoft Excel, PowerPoint, and Word.
  • Proven problem-solving abilities in a fast-paced environment.
  • High attention to detail, accuracy, and quality.
  • Discretion and confidentiality in handling sensitive information.
