We are looking for a steady, warm, service-oriented professional who takes pride in being the welcoming face of the firm, thrives in structured environments, and finds fulfillment in supporting others through consistent, high-quality administrative work.
This is a full-time, in-office role (Monday–Friday) based in our Coral Gables office.
Key AccountabilitiesClient & Visitor Experience
- Serve as the first point of contact welcoming clients, prospects, vendors, and team members.
- Maintain a warm, professional, and polished front office atmosphere at all times.
- Answer, screen, and route calls with care, accuracy, and discretion.
Office Operations & Logistics
- Manage all incoming/outgoing mail, package deliveries, and bulk mailings.
- Maintain office, kitchen, and supply inventory; coordinate vendor orders as needed.
- Liaise with building management and service providers to ensure smooth operations.
- Ensure the office environment is neat and orderly, reflecting the firm’s high standards.
Administrative & Document Support
- Scan, organize, and maintain critical client and firm documents.
- Prepare and send Docu Sign envelopes accurately and promptly.
- Perform precise data entry and administrative updates within CRM systems.
Firm-Wide Support
- Assist internal teams with administrative tasks and operational projects
- Maintain confidentiality and uphold firm values in all interactions
- Ensure timely and accurate completion of all responsibilities
- Takes ownership of the role seriously

- Enjoys gathering and organizing information

- Takes satisfaction in completing tasks well
- Bachelor’s degree preferred
- Prior experience as a receptionist, administrative assistant, or office coordinator preferred
- Proficiency in Microsoft Office Suite
- Familiarity with CRM systems is a plus
- Exceptional communication skills, both written and verbal
- Strong organizational skills and meticulous attention to detail
- Ability to work both independently and collaboratively
- Thoughtful problem-solving abilities and sound judgment
